PURPOSE: 1. This pre-bid meeting was conducted to review the scope for the pending re-roof project on this building. 2. The information within this report shall be identified as Addendum a. Additional addenda may be generated depending on how the pre-bid process proceeds and the type of questions that arise. b. If a question arises that will affect the bidding process (scope, price, etc.) and is not explained within the specifications, we will, at our sole discretion, generate additional addenda and distribute to all parties. ---PAGE BREAK--- CITY OF WOODBURN Public Works Annex – 2025 – Reroof ADDENDUM 05/19/25 (25012) Page 2 of 3 B. GENERAL: 1. The meeting was called to order by David Anderson at 10:00 a.m. with all listed attendees present. 2. This meeting was conducted as a pre-bid meeting to review the overall scope, bid document and any applicable questions on the pending reroof of this facility. 3. The meeting was held in the front of the Health center and then preceded to the back lot for a roof walk. a. All parties listed were present. 4. The key items listed herein were discussed during the meeting and walk-thru of the work. C. NOTED / DISCUSSED ITEMS: 1. Pete Gauthier is the Owner’s Representative on this project. a. Specific technical questions should be forwarded directly to David Anderson ([EMAIL REDACTED]) during the bidding process. 2. Safety: a. Safety is a key issue at all times during the course of the project. b. The roofing contractor is responsible for all activities associated with the project from the start to finish. c. During the roof project, extreme safety measures will be required due to the foot traffic at this operating commercial facility. Safety tape will be required at work/storage areas and a spotter is required when any equipment movement on the ground is taking place. 3. Clarifications: a. As discussed during the pre-bid meeting contractor is responsible for raising all electrical, ducting, gas lines and attachments on parapet including all incidentals. b. All new standing seam coping metal is required. c. Install new Bilco roof hatch d. Pitch pockets required for guide wires. e. New drain bowl on roof B overhang roof. f. Vacated penetrations must be roofed in as discussed. g. If any dry rot is discovered contractor must inform roofing consultant immediately. h. A unit price must be included in bid under alternate one for any dry rot that is discovered. 4. Bid Procedures: a. It is very important that ALL the requested information is filled out on the Bid Form. b. Refer to “Bid/Project Information” for more details. 5. Bonds: a. Bid bond is required for this project. 6. BID DATE: a. May 22, 2025 (Thursday) 2:00 p.m. b. Submit full Bid package directly to CITY OF WOODBURN as detailed in the Specifications. 7. SPECIAL SECURITY REQUIREMENTS: a. During Bidding: Roof access for follow-up inspections is acceptable. During Roof Project: Access will be via contractor provided ladder. To be coordinated at pre-construction meeting after award of the contract. An emergency contact list will be generated by the roof consultant prior to the start of the project. 8. Storage and Staging: a. Storage areas on site are available during the project. To be reviewed at pre-construction meeting: b. Security – Materials: The roofing contractor is responsible for the security of their equipment and materials at all times. c. Building access locations will be identified and approved during the pre-construction meeting. Contractor is responsible for damage to any of the surrounding area(s) due to their activities. Access coordination will be a part of the pre-construction meeting. 9. Work Hours: a. Work hours: (Monday thru Friday) b. Weekend work may be acceptable but must be coordinated and approved a minimum of 36-hours prior to the requested workday, by the defined project representative. The representative’s information and procedures will be reviewed during the pre-construction meeting with all parties on the project. 10. Portable Toilet: a. Contractor shall supply and maintain. D. SUMMARY: 1. These meeting minutes reflect our understanding of the discussion held. Please notify our office immediately and prior to bid date and time, of any discrepancies; otherwise, we will assume that the contents of this report and the Specifications are correct and agreed upon.
