Timestar for Non-Rep, AFSCME, Bailiffs, and Part-Time Employees….How Do I? How do I punch in and out for work? Type in your username and password and click on the green “punch” button. Starting your shift? Click on “In For Day”. Leaving for lunch or for the day? Click on “Out”. Returning from lunch? Click on “In From Lunch”. When do I use “In For Day Again”? You would use this punch option in situations like this: You work an 8 hour day and at 10am you have a doctor’s appointment. You clock out for the appointment, and then return at 11am. When returning at 11am you would clock back in with “In For Day Again”. There are some select departments that utilize other methods for clocking in: Wastewater, Water, and Transit/Streets/Facilities & Maintenance Departments: Employees enter their employee number in the time clocks and select correct punch category; or they can clock in through the computer as well. What do I do if I miss a punch in or out? If you completely forget to punch in or out use the Punch Request feature to submit your missing punch along with explanation in the comments. The system defaults to IDA, please be sure to select the correct punch category for your request, as forgetting to could drastically alter your timesheet. How do I make a time off request? Login to your Timestar account. Under Daily Procedures click on Requests. At the bottom of the My Requests tab click on the arrow on New Request, select Time Off Request. Highlight your supervisor(s) that the request will go to and click the arrow to the left to move the supervisor(s) to the “assigned” box. Click on the green circle with plus sign and type in the hours needed for the request, select the correct pay type, click on the appropriate date on the calendar, and click on the orange “add dates” button. In the comment box you can identify what the request is for (i.e. Doctor’s appointment, going to Hawaii) and if the leave request is for a partial day you can let your supervisor know when you plan to leave for the day and/or arrive for the day (i.e. Afternoon appointment, leaving for day at 2pm). When finished click on the “submit request” button. At this time it will show up in your request list with a status of “unanswered” until your supervisor approves or declines it. My supervisor has not yet approved a leave request, how do I cancel it? Login to your Timestar account. Under Daily Procedures click on Requests. Click on the request you would like to cancel. When it opens there will be a “withdraw request” button at the bottom of the screen, click it and the request will be withdrawn. ---PAGE BREAK--- What do I do if my supervisor approves my time off request and then I don’t need to take the time off, or I need to take a longer or shorter leave than I requested? Please request in writing, email works best, to Human Resources at [EMAIL REDACTED] and cc your supervisor. In your email request please note which leave day should be deleted or adjusted, and if adjusted, how many hours it should read. Please note that your request will be edited under the hours tab only, your original request will still be in the system but it will no longer show up in your accrual summary transactions and/or it will show at the corrected hours you requested. How do I check my running leave balances? Login to your Timestar account. Under Employee Maintenance click on Employee Information, then click on Accrual Summary. Select the transactions tab. Use the drop down menu on Accrual Type to select the leave accrual you would like to view. Under view range, the system will default to the current pay period. If you are a part-time employee it may show nothing in the current pay period if you have not earned any sick time yet in that pay period. For all employees, to get a broader view of your accruals, leave taken, and the current running balance change the view range to current year or full year to today. With this view you can see accruals when they drop into your account, approved leave time that was taken or approved to be taken in the future, as well as the running balance on a specific date. *Quick tip if you just want your running balance and don’t need details: When you login to Timestar you’ll see this on the screen: Click the + on My Requests. It will show you your time off requests, but also below that it will say “accrual balances” and the time shown there is what you have at the moment. How do I review my own timesheet: If you are an AFSCME Flex, Non-Rep, or Part-time you would go to Daily Procedures, then total hours, on “display” use the drop down menu to select “weekly by pay type” and you will have the view in the screenshot below where you can see your total hours by pay type each week. Use the circled turquoise ---PAGE BREAK--- arrows to move pay periods forward or backwards. Use the “show time as of now” button to see where your hours are at in that moment in time for the open pay period. If you are on an AFSCME Regular schedule you would go to Daily Procedures, then total hours, the default display is Daily Summary, which is the view in the screenshot below that you need to see your total hours per work day. Use the circled turquoise arrows to move pay periods forward or backwards. Use the “show time as of now” button to see where your hours are at in that moment in time for the open pay period. What do I do if I get a 502-Gateway Error message? Almost every employee’s username is their first name and the first two letters of their last name, all lowercase. If this username does not work please contact Human Resources at [PHONE REDACTED] or [EMAIL REDACTED] What do I do if I forget my password? Click on the Reset Password link and follow instructions. If this does not work please contact Human Resources at [PHONE REDACTED] or [EMAIL REDACTED] to reset your password. What do I do if I get locked out? Please contact Human Resources at [PHONE REDACTED] or [EMAIL REDACTED] to unlock your account and have your password reset.
