Confidential Secretary to the Sheriff 1 Jurisdiction: Schuyler County Jurisdictional Classification: Exempt (1/14/09) Adopted: May 5, 2008, Reviewed: May 31, 2011; Reviewed: December 1, 2021 CONFIDENTIAL SECRETARY TO THE SHERIFF DISTINGUISHING FEATURES OF THE CLASS: The employee in this class performs responsible, varied, and confidential office and administrative work requiring a high degree of discretion for the Sheriff. Works under the general supervision of the Sheriff. May supervise clerical staff. May be called upon from time to time to accompany females to court, other correctional facilities, hospitals etc. Does related work as required. TYPICAL WORK ACTIVITIES: Coordinates the administrative duties and business functions of the Sheriff’s office; Assists in preparation of annual budget; Monitors and prepares reports on expenditures of the department; Docket and prepares all incoming civil papers for service (ex: income executions, property executions, summons with notice, summons & complaint, family court papers, evictions, justice court papers, notice of sale, etc.) Return affidavits of service to attorneys and bill for services; Place income executions with employers; Update executions; Makes arrangements with judgment debtors reference payment of executions; Post all cash receipts (bail, fines, income & property executions, bad checks, service fees, etc.) to cash receipt journal and ledger; Makes deposits to checking account and reconcile bank accounts; Reconcile receipt journal and cut check to county treasurer; Prepares all checks for disbursement; Prepares vouchers and submits the Sheriff for signature; Files paperwork as it pertains to the department (examples: complaints, jail files, etc.) Types all correspondence from Sheriff and for other officers as requested; Writes necessary correspondence; Receives incoming mail and distributes to appropriate personnel; Order supplies and maintains inventory; May perform Matron work as needed, (example: accompany females to court, other correctional facilities, hospital and facilities, etc.) Acts as receptionist at the service window in lobby of Sheriff complex. FULL PERFORMANCE KNOWLEDE, SKILLS, ABILITIES, AND PERSONAL CHARACTERISTICS: Thorough knowledge of modern office practices and procedures; Good knowledge of the operation of office equipment (copiers, fax, telephone, computer, typewriters); Good knowledge of financial record keeping; Ability to understand and carry out complex oral and written instructions; Ability to communicate effectively both orally and in writing; Ability to establish and maintain cooperative working relationships with the public and other governmental and private agencies; Ability to plan and carry out administrative details; Ability to make independent decisions; ---PAGE BREAK--- Confidential Secretary to the Sheriff 2 Good powers of observation; Good judgment, tact and courtesy; Physical condition commensurate with the demands of the position. MINIMUM QUALIFICATIONS: A) Graduation from high school and two years of full-time clerical experience which included typing, computer applications, and record keeping, or B) Graduation from a regionally accredited college or university or one accredited by the New York State Board of Regents to grant degrees with an Associate’s degree in secretarial science or accounting.
