Box 9203 1515 East Street Moscow, lD 83843 RE: Hamilton-Lowe Aquatics Center, 98047 3Aa Dear Randy: As discussed, the Coustruction Adwinistration Services pro·.-idLd by Chick Iv1abbutt of Associated Architects were based on completion of construction on December 3, 1999. As you know, Bodell Construction has several incomplete construction activities and will not reach substaniial or tina! completion until some time in the Spring. In our discussions, you and I concluded that retaining Chick's services until the completion of the project would be advantageous to the City. We also agreed that it would not be productive to pursue liquidated damages from Bodell Construction to cover the cost of retaining Chick's services. As indicated on the attached letter, Chick has proposed to extend his Construction Administration Services for a not-to-exceed total of$9,950. Due to Chick's presence on site, Northwest Architectural Company was able to reduce our time at the JOb site during construction. By Contract, NAC was required to make "weekly site inspections during periods of significant contractor activity." During construction, NAC did provide inspections at least once every month and occasionally we were on site !(Jr a second visit during the month. Because of this reduction in NAC' s effort, we propose to reduce the request submitted by Chick to account for the time he spent on site on our behalf in fulfillment of the original Contract requirements. We have calculated this reduction as follows: C\mstructwn activity from 4/26/99 to 12/3/99 = 32 weeks. 32 weeks minus 8 visits from NAC = 24 weeks x 3 hours on site x $45rbour = 24 weeks $3,240 NAC and our other consultants will also incur additional expenses as a result of the extension of construction into the spring of 2000. It would seem appropriate to adjust the above reduction to offset a portion of our additional costs. While additional NAC and other consultant costs might approach $3,000, I am proposing we adjust the reduction to $2,000. Associated Architects proposes to continue to provide the following: 1. Site visits and Field Reports based on inspections. 2. Documentation of construction issues as necessary. 3. Review RFJ's and provide assistance to clarify the issues. 4. Review and assist in the implementation of Change Proposals. 5. Review Contractor's Application for Payment. 6. Assist in providing a Substantial Completion Punch List and the follow-up inspection. Associated Ardtitects proposes to provide the ahove construction administration servkes at an hourly rate of $45 per hour, not to exceed $9,950.00. The above fee is based on 42 hours work provided in December, 1999. and 12 weeks from mid March until June 3, 2000 at approximately 15 hours per week.
