RENTAL AGREEMENT FOR THE MORGAN COUNTY AGRICULTURE CENTER, MADISON, GA [Effective June 1, 2007] All organizations requesting permission to use the Ag Center must complete this form and return to the Morgan County Extension Office at 440 Hancock St., Madison, Georgia 30650. Policy governing the use of the Ag Center is determined by the Morgan County Ag Center Authority and includes the following: 1. ALL DATES ARE TENTATIVE UNTIL THIS MEMORANDUM OF AGREEMENT HAS BEEN APPROVED AND RETURNED WITH A $75.00 DEPOSIT. The Morgan County Ag Center Authority is not responsible for commitments made to a third party without this approval. The facility cannot be sub-leased by, or to, a third party or organization. 2. SMOKING will not be allowed in any areas where a danger of fire is unusually great. Such areas will be clearly posted and the using organization has a responsibility to enforce this policy. 3. USE OF ALCOHOLIC BEVERAGES OR FIREARMS IS PROHIBITED, and it is the responsibility of the using organization to enforce this policy. 4. Food service is not provided. The using organization is expected to make these arrangements with the concurrence of the Morgan County Ag Center Authority. 5. A DEPOSIT OF $75.00 PER EVENT WILL BE REQUIRED TO RESERVE THE AG CENTER. THE DEPOSIT IS DUE AT THE TIME THE CENTER IS RESERVED AND IS NON-REFUNDABLE. The deposit will be applied towards the total usage fees for the facility when the facility is rendered clean. *Clean is interpreted as 1) all trash is removed and dumped outside in dumpster and 2) all grease and grime removed from the grill, stove and countertops. 6. The using organization will be responsible for TURNING OFF all lights, air conditioner/heater and kitchen equipment at the conclusion of the activity. 7. This center is not designed to hold livestock for an extended period of time. Therefore, animals will not be received more than three days prior to a show or sale and must be removed within one day following the event. Livestock must be confined to the immediate facility. Stalls and alley in the stall/tie-up area will be bedded with one to two inches of shavings. It will be the responsibility of the using organization to provide additional shavings. Bedding materials other than shavings must be approved by the Ag Center Authority and be furnished by the user. AN ADDITIONAL FEE WILL BE CHARGED FOR SPECIAL BEDDING REMOVAL. No bedding (shavings, straw, etc.) will be allowed in show arenas. The using organization will furnish feed, water equipment, security, and other special materials used in preparation of the facility. 8. NO TRAILER HOOK-UPS ARE AVAILABLE TO SUPPORT RV PARKING. (If necessary, only an electrical hook-up can be arranged for $10.00/per RV, as long as fire code and other rules are followed.) 9. Structural damage done to the Ag Center, while it is assigned to any organization, must be reported to the Authority. THE USING ORGANIZATION ASSUMES FINANCIAL RESPONSIBILITY FOR ANY DAMAGES OR LOST ITEMS SUCH AS STALL LOCKS, WATER HOSES, PITCH FORKS, ETC. 10. FIRE LANES have been clearly posted which is 30 feet around all Ag center buildings. Any vehicle parked in this 30 ft. fire lane will be towed (no exceptions). Fire lanes are required by the State of Georgia. ---PAGE BREAK--- 11. All meetings, gatherings or events at the Ag Center to which the public attendance is invited or solicited must be on a non-discriminatory basis. All facilities must be available to all persons without regard to sex, race, color or national origin. Duplicate but equal events which maintain segregation on these basis will not be permitted. 12. When approval has been confirmed by return of this executed rental agreement, preparation for the event may be arranged by calling the Morgan County Extension Director at [PHONE REDACTED]. 13. ALL RENTAL FEES MUST BE PAID AT THE CONCLUSION OF THE ACTIVITY. The attached application form should be properly filled out and when signed by both parties in the spaces provided this document becomes a contract between the named using organization and the Morgan County Ag Center Authority, and both parties will be bound by the terms and conditions herein set forth. The permission hereby given to the using organization is to be used and enjoyed at its sole risk, and in consideration of the benefits to be derived here from, the using organization hereby releases, relinquishes, and discharges and agrees to indemnify, protect, and save harmless the County of Morgan and any of its agencies, of and from any and all claims, demands or liabilities for any injury to, including injury or death of livestock or other animals (whether it be that of either of the parties hereto or third persons) causes by or growing out of or in any way happening in connection with its exercise of the privileges herein granted. CATEGORIES FOR RENTAL AGREEMENT: Morgan County Extension Service and Morgan County Vocational Agriculture Department will use the center at no charge. Other groups using the facility will pay as follows: 94' x 270' - open arena & covered show 94' x 60' covered 100/day Concession stand (if left 30/day Grounds 150' x 60' stall area with tie walls 100/day Arena 20/hr. (Use of restrooms is included in all rentals.) Per livestock stall fee: (using organization handles rental): DAY-ONLY RENTAL livestock arrives on a Sat. and leaves on Sat.) Per stall fee for one day day Guaranteed full occupancy (69 day OVERNIGHT RENTAL Per stall fee (one night i.e., livestock arrives on Fri. and leaves on 16/for one night Per stall fee (two nights i.e., livestock arrives on Fri. and leaves on two nights Per stall fee (three nights i.e., livestock arrives on Fri. and leaves on Mon.)....$32/for three nights ---PAGE BREAK--- Per stall fee guaranteed full occupancy (69 stalls): • $14/for one night • $22/for two nights • $30/for three nights Please remember that the Morgan County Ag Center is a non-profit facility. Clean-up costs are our highest regular expense. Exhibitors are requested to keep stalls as clean as possible, feed hay as necessary, preferably in hag bags or nets, and to place animal waste in the manure spreader provided. Keeping our clean-up costs low keeps costs low for your organization. No Smoking signs and No Alcoholic Beverage signs have been installed at the center. We ask each using-organization to enforce these policies. Because of State law, we have initiated a 30-feet emergency vehicle (fire lane) policy surrounding the barn. We have asked the Morgan County Sheriff=s Dept. to help enforce this policy and ask for your help and cooperation also. The PA system is available for use from the Extension office and can be picked up with the keys for the facility the day before the event and returned the Monday after the event when your itemized fee payment is due.
