1 Job Announcement Building Services Administrative Assistant Opens: Thursday, July 6, 2023 Closes: Open unƟl filled Will begin reviewing applicaƟons on 7/20/2023 Status: Full-Time, Non-Exempt Hiring Range: $19.00—$22.00 per hour CompeƟƟve Benefits Package—see page 5-6 Under the direcƟon of the Building Services Director, the Building Services AdministraƟve Assistant is responsible for assisƟng with a variety of clerical and administraƟve duƟes to facilitate the coordinaƟon of all maƩers pertaining to the Building Services Department. ESSENTIAL JOB FUNCTIONS 1. Serves as the primary point of contact for the Building Services department and provides frontline informaƟon assistance to the public, contractors, developers, and city staff. 2. Performs general administraƟve duƟes including, but not limited to, answering phones, responding to emails, transferring calls/forwarding emails to appropriate city staff, handling customer inquiries at the front counter, processing payments, processing mail, maintaining various records and files, and answering general quesƟons. 3. Schedules Building Services department meeƟngs as assigned. 4. May be asked to assist with departmental purchasing needs, memberships, and training registraƟons. 5. May be asked to schedule building, code, and business license inspecƟons. 6. May be asked to schedule ALJ hearings. 7. Records ALJ hearings. 8. May process sub permits. 9. Takes notes and tracks assignments from Building Services department meeƟngs. 10. May prepare reports; collects and organizes special inspecƟon reports. 11. Revises departmental SOPs and other various documents and handouts as assigned. 12. Processes department-related GRAMA requests. 13. May log ciƟzen issues into the “Report a Concern” applicaƟon; processes code complaints. ---PAGE BREAK--- 2 14. Researches, issues, and releases leƩers of non-compliance; communicates status of non-compliance leƩers with Salt Lake County. 15. Responds to property owners regarding stop work orders. 16. Communicates with iWorQ, Bluebeam, and other department-related soŌware help desks as assigned. 17. May assist with records management for the Building Services Department, including retenƟon and destrucƟon schedules. 18. Maintains notary public cerƟficaƟon and provides notary services for department-related funcƟons. 19. Performs other duƟes as assigned. MINIMUM QUALIFICATIONS 1. EducaƟon and Experience: High School Diploma or G.E.D. 18 months of experience related to the above duƟes. 2. Special QualificaƟons: Valid Utah Class D Driver’s License required. 3. Knowledge, Skills, and AbiliƟes: Knowledge of building code, principles, and pracƟces. Knowledge of modern office pracƟces and procedures including grammar, spelling, and punctuaƟon; modern filing systems, telephone eƟqueƩe, and various office machines. Ability to operate a personal computer, MicrosoŌ Office products, and internet applicaƟons. Ability to promote a high level of customer service and good public relaƟons. Oral communicaƟon and interpersonal skills to explain rules and procedures clearly to the public. Ability to establish and maintain effecƟve working relaƟonships with fellow employees, elected officials, and other agencies of the public. Ability to work with the public and city staff in a busy and oŌen stressful environment with a professional and posiƟve approach; skill in the art of diplomacy and cooperaƟve problem-solving. Ability to work on several projects or issues simultaneously. WORKING CONDITIONS 1. Environment: Work is performed primarily in a standard office environment. 2. Physical: Primary funcƟons require sufficient physical ability and mobility to work in an office seƫng; to stand or sit for prolonged periods of Ɵme; to occasionally stoop, bend, kneel, crouch, reach, and twist; to liŌ, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repeƟƟve hand movement and fine coordinaƟon including use of a computer keyboard; and to verbally communicate to exchange informaƟon. 3. Vision: See in the normal visual range with or without correcƟon. 4. Hearing: Hear in the normal audio range with or without correcƟon. 5.
