1 Job Announcement Planning Administrative Assistant Opens: Monday, April 11, 2022 Closes: Open until filled Will begin reviewing applications on 4/25/2022 Status: Full-Time, Non-Exempt Hiring Range: $19.00—$21.00 per hour Competitive Benefits Package—see page 5-6 Under the direction of the Planning & Zoning Director, the Planning Administrative Assistant is responsible for assisting with a variety of clerical and administrative duties to facilitate the coordination of all matters pertaining to the Planning & Zoning Department. ESSENTIAL JOB FUNCTIONS 1. Meet performance standards established with the employee’s supervisor. 2. Receive and track applications, reports, plats, drawings, and other documents related to development within the city and distribute documents to appropriate parties for review. 3. Provide first level customer service to the public, contractors, developers, and city staff; answer general questions concerning development applications, zoning permits, site plans, inspections, city ordinances, and administrative policies and procedures. 4. Coordinate land use hearing notices, public notices, and property owner verifications and schedule development review consultations as required. 5. Compile staff memoranda and staff reports for review by Community Councils and the Millcreek Planning Commission. 6. Perform routine office tasks in designated program areas including data entry, automated tracking systems, file management, copying, and answering the telephone. 7. Review building permits and development applications for accuracy and completeness, and coordinate with building permit technicians and others in the City as needed. 8. Attend public meetings, assisting other planning staff as appropriate. 9. Process department related GRAMA requests. 10. Coordinate with Millcreek Finance Department on the payment of invoices for professional services sent to the Millcreek Planning Department. ---PAGE BREAK--- 2 11. Track and maintain current bond file and development bonds through the approval process; keep applicants and other inter-departmental staff informed as to status and progress. 12. Assist in calculating development bonds, coordinate bond release inspections, and process bond payments. 13. Perform other duties as assigned. MINIMUM QUALIFICATIONS 1. Education and Experience: a. Graduation from high school or GED; b. Two years’ clerical experience or experience related to above duties. 2. Knowledge, Skills and Abilities: a. Knowledge of modern office practices and procedures including grammar, spelling, and punctuation; modern filing systems, telephone etiquette, and various office machines. b. Ability to operate a personal computer, Microsoft Office products, internet applications, and learn new software programs. c. Ability to promote high level of customer service and good public relations. d. Knowledge of planning principles and practices, including pertinent specialties. e. Knowledge of principles and practices of research and data collection. f. Knowledge of effective writing techniques. g. Statistical, algebraic or geometric knowledge and ability to apply such knowledge in practical situations. h. Oral communication and interpersonal skills to explain rules and procedures clearly to the public. i. Problem-solving skills to gather relevant information to solve vaguely defined practical problems. j. Ability to review plans and apply provisions of the ordinances and codes to determine compliance with such regulations and to apply regulations to field conditions. k. Ability to work on several projects or issues simultaneously. l. Ability to work independently or in a team environment as needed. WORKING CONDITIONS 1. Environment: Work is performed primarily in a standard office environment. 2. Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information. 3. Vision: See in the normal visual range with or without correction. 4. Hearing: Hear in the normal audio range with or without correction. 5.
