HIRING PROCESS Hiring Supervisor notifies HR of vacancy, and establishes an application deadline. After authorization to hire is confirmed, HR updates job announcement binder, city website, intranet, Boomerang, Work Force, and the Job Posting group. If job is “open until filled,” applications will be sent to Supervisor as they come in or after first review. If job has a close date, HR will hold applications until that date, and then send them to Supervisor via office mail (unless Supervisor picks them up). After review, Supervisor returns all applications to HR with interviewees marked. Supervisor and HR decide on date for interviews, giving candidates at least a week to prepare. Supervisor informs HR of the length of interviews with break, and the requested interview panel. Supervisor asks approved people to be on the interview panel. Supervisor submits potential questions for HR to review and edit. HR compiles an Interview Binder consisting of interview details, finalized questions, copies of applications, and other pertinent information for each interview panel member. Panel meets 20 minutes prior to interviews to discuss candidates and questions. At the conclusion of the interviews, panel recommends candidates for hire or a second interview, if necessary. After first interviews, Supervisor returns applications and questions to HR, with second interviewees marked, if necessary. After 1st interviews, HR sends out emails to “no interviews,” and calls those not moving on to 2nd interviews. On day one of working, HR will arrange a New Hire Orientation with the Supervisor. If necessary, Supervisor sends job announcement to their professional associations. Supervisor works with HR to set up 2nd interviews, if necessary. Supervisor delivers offer to new hire for signature, then returns signed offer to HR. If no 2nd interviews are performed, supervisor returns interview packets to HR, extends a verbal offer to the new hire. Supervisor notifies internal candidates’ that they are not hired or moving on to 2nd interview. Supervisor informs new hire when and where the orientation will be. HR assists in 2nd interview set up, and HR reviews and edits questions. After 2nd interviews, supervisor calls “no offers.” HR writes the new hire offer.
