1 How to print out your department budget: STEP 1. Go to H.T.E. and Login. Go to LRME Financial Systems. select àLRME GMBA Menuà Inquiry Menu à select “Account Balance Inquiry” Once you are in Account Balance Inquiry, you will enter the year you are interested in, i.e. 2007, your fund number, and department code. At this point you need to decide what type of report you want. If you want a report that will summarize your accounts, budget and balances and print out a one page report than, proceed to STEP 1a. If you want a detailed report listing each account and their various charges, than stop here and proceed to STEP 2. ---PAGE BREAK--- 2 STEP 1a. Notice on the left side of the page, your menu selection in the blue area, under the scales of money. It has a list of six words starting with Account Balance, Subset, Top, etc. and ending with Account Balance. You will be selecting the second “Account Balance” at the bottom of the list choices. Once you have selected this choice, a white screen will appear with the option to enter a range of account numbers. ---PAGE BREAK--- 3 STEP 1b. To get your summary report, enter the fiscal year desired, and the account number desired but make sure you write the range of expenses, all in the 400 accounts, 400-499 would be the range. Than you need to list your range of element/object from 01-99. For Example, From: 100-1025-411-01-01 To: 100-1025-499-99-99 Range Type: Range SELECT “OK” You have now selected your data range now you need to print this report out. To print out this report you need to follow these steps: EXIT out of the Account Balance screen as represented in STEP 1a. This will return you to the Main Menu as seen in STEP 1. At the Main Menu, you will be selecting from the left hand side of the page, SELECT “Work With Spool…..” STEP 1c. ---PAGE BREAK--- 4 This will bring you to a new page titled “Work with Spool Files by User” Here you will find the document, under “USER DATA”, titled “GM365L” This is the name of the report you need to print out. Select “GM365L” and right click this document, select “change” and enter the printer name, i.e. HP9050_P Go to the printer and pick up your report. You are done. If you want a detailed report continue to STEP 2. IF YOU WANT A DETAILED REPORT OF ALL YOUR EXPENSES PER ACCOUNT NUMBER, THAN FOLLOW THE FIRST STEP, STEP 1, only STEP 1. LISTED ABOVE AND PROCEED WITH THE STEPS LISTED BELOW: ---PAGE BREAK--- 5 STEP 2. If you work in the City Clerk’s office, you need to select fund 100 and department 1025. Then press “Go To” Your screen will change and you should see the very first account number for your department listed. Place your cursor over the account number and right click to select the file. This first file is 100-1025-411-10-10 Salaries & Wages / Full Time STEP 3. ---PAGE BREAK--- 6 Your selection will place you at this screen. From here you want to select the printer icon at the top of the page that says “Account” STEP 4. It will bring you to this screen, the “Submit Account Activity Listing” . This is where you will define the parameters of your print job. 1. Select Fiscal Year range: 2007 to 2007 2. Select the account number range. Your first account number should already be ---PAGE BREAK--- 7 selected. However, you can override this account, by entering the account number you want. 100-1025-400-10-01 to 100-1025-499-99-99 3. Select the type. It is very important to select “RANGE”. This will print every account between these two account numbers. 4. After this point it is not necessary to select or change any other parameters. You can just select “ENTER” and you should be bumped out of this screen and back to the account balance inquiry screen. 5. You can also select a date range year to query by a particular month or year. STEP 5. You will be bumped back to this page but you do not need to be here. Just select “Cancel” or Exit”. Your goal is to get to the printer spool so you can print out this job. ---PAGE BREAK--- 8 STEP 6. Now select on the left hand menu bar “Work with Spool” ---PAGE BREAK--- 9 STEP 7 Here you should right click the file print job and you can “DISPLAY” so that you can review it and than cancel out of that screen and/or you can select “CHANGE” so you can send the file to the printer. The “User Data” code for the report you want to print is GM360L, as noted below. ---PAGE BREAK--- 10 STEP 8. After you select the print job and right click “CHANGE” you will come to this screen and you need to enter the OUTQ: (this is where you enter your printer name) i.e. HP9050_P At this point you have run your report and printed it out.
