Accounting Administrative Assistant II Various Departments Page 1 of 2 KLICKITAT COUNTY, WASHINGTON POSITION DESCRIPTION POSITION TITLE: Accounting Administrative Assistant II EFFECTIVE DATE: June 17, 2014 REPORTS TO : Deputy Director of Finance & Administrative Services PAY GRADE: Grade 36 DEPARTMENT/DIVISION: Public Works FLSA STATUS: Non-exempt LOCATION: Goldendale POSITION STATUS FULL TIME, .6 FTE, ETC): Full Time BASIC JOB PURPOSE/FUNCTION: Performs routine to moderately complex clerical support and accounting duties within assigned work area following established instructions and procedures. Examples of support functions include billing, accepting payments, reconciling accounts, record-keeping, file maintenance, data entry, preparation of standard reports and forms, receiving and conveying information, and working with the public. May function as the only or principal clerical employee in a work area. Responsible for the flow and completion of assigned work within general guidelines, and may require the exercise of some judgment in application. ESSENTIAL JOB DUTIES: 1. Receives payments, documents or samples at the counter, and records or processes the transaction. 2. Posts revenue, balances accounts, and prepares bank deposits. 3. Prepares and sends out billing statements, and follows up with collections actions if needed. 4. Enters accounts payable invoices and posts to correct job cost. 5. Answers incoming calls or directs callers as appropriate, and also assists the public in person. Provides general or specific information within scope of authority from knowledge of established procedures and policies, or applicable laws, rules or regulations. 6. Reviews for accuracy, and processes accounting, payroll or other documents following established instructions or applicable laws and regulations. 7. Enters data into electronic or manual records systems, including databases or spreadsheets. Verifies accuracy of information entered. Compiles department data and prepares scheduled or special reports. 8. Establishes, updates, maintains, retrieves data from, and purges manual or electronic files according to standard procedures. 9. Resolves typical problems or issues encountered in performance of job duties. Maintains effective working relationships with employees or the public. 10. Utilizes standardized guidelines and regulations to determine eligibility for services provided for or approved by the department. 11. Prepares or edits correspondence, forms, county licenses or certificates, or other department documents using standard office or specialized software applications. 12. Maintains petty cash for the department; prepares outgoing mail. 13. Operates standard office machines including a personal computer, multi-line telephone, photocopier, facsimile, or other equipment required in the performance of assignments. ---PAGE BREAK--- Accounting Administrative Assistant II Various Departments Page 2 of 2 ADDITIONAL JOB DUTIES: 1. Provides back-up support for department administrative positions as needed. 2. Performs other related duties as assigned. REQUIREMENTS/MINIMUM QUALIFICATIONS:  Knowledge of principles, practices, and techniques and related tools/equipment to accomplish the basic function of this position, including any safety and/or legal requirements. This may, but not necessarily, include knowledge specific to the assigned department and/or specialized skills.  Knowledge of basic math, and basic bookkeeping or accounting principles and practices.  Ability to multi-task, and exercise discretion and judgment to resolve routine problems.  Knowledge and ability to use standard office software programs including email, word processing, accounting, and/or database applications.  Knowledge and ability to operate standard office equipment including a personal computer, telephone, facsimile machine, photocopier, or other equipment required for the position.  Any equivalent combination of education and experience that provides the applicant with the required knowledge, skills, and abilities to perform this job. A typical way to obtain the knowledge and abilities would be: High school diploma or GED and two to four years of progressively responsible bookkeeping or general accounting experience, preferably in government accounting. One year of related college or business school course work may be substituted for one year of experience Licenses, Certificates, and Other Requirements Valid state driver’s license in state of residence Specific positions may require specialized training or certification WORKING CONDITIONS:  Positions require the ability to perform those activities to complete the essential functions of the job, either with or without reasonable accommodation. Work is performed in an office, public forum or field location. Requires continuous and/or frequent talking, repetitive motions of hand/wrists, hearing, and handling and may require some physical exertion. Mental activities required by positions in this class include decision making, interpersonal skills, supervisory skills, teamwork, creativity, customer service, mentoring, use of discretion, presentations/teaching, problem analysis, negotiation, and the ability to perform simple math and to read, write, speak and understand English. Required physical activities can include frequent keyboard fingering, sitting, and lifting, pushing, pulling, and carrying objects up to 25 pounds.
