Administrative Assistant I West District Court Page 1 of 2 KLICKITAT COUNTY, WASHINGTON POSITION DESCRIPTION POSITION TITLE: Legal Administrative Assistant I EFFECTIVE DATE: January 1, 2010 REPORTS TO: District Court Administrator PAY GRADE: 35 DEPARTMENT/DIVISION: West District Court FLSA STATUS: Non-Exempt LOCATION: Pioneer Center, White Salmon POSITION STATUS: .6 FTE BASIC JOB PURPOSE/FUNCTION: Performs a variety of clerical, legal and accounting duties to assist the District Court Administrator in the operation of the District Court. ESSENTIAL JOB DUTIES: 1. Assists in the scheduling and preparation of court calendars for criminal, civil, small claims, traffic infraction, domestic violence and anti-harassment cases; prepares case files for court sessions. 2. Drafts forms, letters and other correspondence and submits for approval. Completes forms for warrants, summons and notices. Maintains and compiles statistical data and prepares mandated and requested reports as directed. Performs computer input of time payments, delinquency notices, warrants, calendars and court-related information. 3. Ensures readiness for court proceedings; opens court by announcing the presence of the judge; staffs courtroom during sessions, operates court recorder to record proceedings, maintains recording logs, marks exhibits and processes orders of the court. Maintains court recorder; secures log records and electronic recordings; releases information and disposes of court records in accordance with state guidelines. 4. Assists in the jury selection process; escorts jurors throughout trial process and serves as liaison for the judge, jurors and counsel; transfers documents between the bench, jurors and counsel. 5. Responds to telephone inquiries; greets and assists the public at the counter; opens and distributes mail; sorts and routes documents; initiates correspondence responding to a court- related inquiry or information request. May act as contact or liaison to the Court for outside agencies and the public. 6. Arranges for time payments according to court procedures for fines; monitors payments and takes appropriate action for delinquent accounts; receives, records and receipts payments of court fines, bail, penalty assessments and fees according to court procedures. Reconcile bank statements and makes bank deposits as needed. 7. Performs general duties associated with processing and filing warrants, citations and other legal documents associated with name changes and civil, small claims, domestic violence and anti- harassment cases. Processes time payment agreements, jail commitment orders and orders of release. 8. Assumes responsibility for the clerical operations of the Court in absence of the District Court Administrator. 9. Process delinquent accounts for collection, select accounts for removal from time pay, determine status for arrest warrant or collection action. Process and transmit accounts via electronic transmission to collection agency. 10. Select and process infraction tickets, for FTA and collection action. Process and track sensitive court ordered documents which require special handling to ensure safety of victims. ADDITIONAL JOB DUTIES: 1. Assist in training process of Assistant Clerk. 2. Provide clerical support to the local City Municipal Courts. 3. Performs other related duties as assigned. REQUIREMENTS/MINIMUM QUALIFICATIONS: Knowledge of principles, practices, and techniques and related tools/equipment to accomplish the basic function of this position, including any safety and/or legal requirements. This may, but not necessarily, include specialized skills. Any equivalent combination of education and experience that provides the applicant with the required knowledge, skills, and abilities to perform this job. A typical way to obtain the knowledge and abilities would be High school diploma or GED or any combination of education and experience that provides the knowledge, skills and abilities needed to perform the essential functions of the classification. Licenses, Certificates, and Other Requirements Valid state driver's license in state of residence WORKING CONDITIONS: This position requires the ability to perform those activities to complete the essential functions of the job, either with or without reasonable accommodation.
