Legal Administrative Assistant III Prosecuting Attorney’s Office Page 1 of 2 Y KLICKITAT COUNTY, WASHINGTON POSITION DESCRIPTION POSITION TITLE: Legal Administrative Assistant III EFFECTIVE DATE: January 1, 2010 REPORTS TO: Prosecuting Attorney PAY GRADE: 37 DEPARTMENT/DIVISION: Prosecuting Attorney’s Office FLSA STATUS: Non-Exempt LOCATION: Goldendale POSITION STATUS: Full-time BASIC JOB PURPOSE/FUNCTION: Maintains files and schedules, handles victim/witness matters, and prepares correspondence, pleadings, briefs, and other legal documents for attorneys as assigned. Office administration and bookkeeping, mail processing, and general receptionist services as assigned. Requires minimal supervision and a high level of legal expertise within the department. ESSENTIAL JOB DUTIES: 1. Prepares legal documents and correspondence and establishes and maintains files for attorney(s) assigned to. Maintains computer database containing assigned attorney(s)' files. Handles incoming calls regarding assigned attorney(s). Assists witnesses and victims involved in assigned attorney(s) cases. Performs all copying pertaining to assigned attorney(s). Processes the assigned attorney(s)' mail. Assists the public both on the telephone and in person. 2. Maintains calendar for assigned attorney(s), including maintaining computer database. Works closely with pertinent courts. 3. Schedules for Court of Appeals in Superior and District court. 4. Prepares case documents and assists in trial preparation as directed. This can include: preparing information, summonses, warrants, discovery, subpoenas, motions and orders, and judgments and sentences; obtaining officer reports, criminal histories, and driving records; preparing evidence, documents, jury instructions and trial materials; notifying victims and witnesses of trial settings and case status. Drafts correspondence and documents as requested. 5. Provides assistance to victims in assigned attorney(s)' cases, including serving as liaison between the victim and law enforcement agencies, contacting counseling services, and notifying victims regarding the progress of the case, court dates and changes, restitution status, and the case's final disposition. 6. Manage office support functions and work activities of support staff upon approval of this function by the Prosecutor. 7. Provides clerical support for coroner. ADDITIONAL JOB DUTIES: 1. Performs other related duties as assigned. ---PAGE BREAK--- Legal Administrative Assistant III Prosecuting Attorney’s Office Page 2 of 2 REQUIREMENTS/MINIMUM QUALIFICATIONS:  Knowledge of principles, practices, and techniques and related tools/equipment to accomplish the basic function of this position, including any safety and/or legal requirements. This may, but not necessarily, include specialized skills.  Any equivalent combination of education and experience that provides the applicant with the required knowledge, skills, and abilities to perform this job. A typical way to obtain the knowledge and abilities would be High school diploma or GED. with three year's experience working as a legal secretary, four years' experience working as a secretary, or one year of secretarial trade school and three years of secretarial experience. Licenses, Certificates and Other Requirements Valid state driver's license in state of residence Public Notary WORKING CONDITIONS:  This position requires the ability to perform those activities to complete the essential functions of the job, either with or without reasonable accommodation. The position requires continuous and/or frequent talking, repetitive motions of hand/wrists, hearing, and handling. Mental activities required by the employee in this position include decision making, interpersonal skills, supervisory skills, teamwork, creativity, customer service, mentoring, use of discretion, presentations/teaching, problem analysis, negotiation, and the ability to perform math and to read, write, speak and understand English. Required physical activities can include frequent keyboard fingering, talking, repetitive motions of hands and wrists, sitting, hearing and lifting, pushing, pulling, and carrying objects up to 10 pounds.
