TREATMENT COURT CASE MANAGER NORTHERN JUDICIAL CIRCUIT / DAWSON COUNTY Full-Time/Hourly/Non-Exempt JOB SUMMARY This position is responsible for providing administrative, clerical, and case management support for the Dawson County Treatment Court and reports directly to the Program Coordinator. This position provides support for the Treatment Court Coordinator in the day-to-day operations of Treatment Court Program. This position is responsible for the tracking of participant progress, data collection, data dissemination, and accurate and timely maintenance of all spreadsheets. This position will prepare, update, and maintain participant files, as well as maintain databases and tracking systems for the Treatment Court Program. An acute attention to detail and ability to work in a fast-paced environment with high expectations are essential, maintaining confidentiality of all offenders and office information as required by federal and state law. The schedule for this position is Monday – Friday, 8 am – 5 pm. ESSENTIAL DUTIES  Answers incoming telephones calls and direct the caller to the appropriate department or employee.  Greets and directs visitors.  Will respond to e-mails and faxes, take and retrieve messages for various personnel.  Prepares, updates, and maintains databases and program tracking systems.  Facilitates daily job search program.  Provides support to the Treatment Court Coordinator.  Responsible for maintenance of fees in the Program, including maintaining spreadsheet of individual participant progress/lack of progress in payments; recording deposits on rolling tape and delivering to Coordinator for verification of total and deposit of funds per Treatment Services policy.  Oversees drug screening process to include recording information and budgeting, reporting information and results to the team.  Provides necessary information to residential treatment providers and obtains necessary information from residential treatment providers for the maintenance of accurate, up-to-date records.  Schedules participant community service appointments efficiently.  Provides accurate reports to the Treatment Court Coordinator to facilitate fulfillment of grant objectives.  Prepares graduation certificates and programs. DAWSON COUNTY GOVERNMENT 25 Justice Way, Suite 2233 Dawsonville, GA 30534 (706) 344-3501 ---PAGE BREAK---  Assists participants in linkage to community resources, as needed.  Prepares and conducts initial program orientation sessions.  Prepares phase move certificates, incentive drawings, court rosters, etc. for court.  Serves as initial point of contact for all participant calls and office visits (medication approvals, address changes, leave requests, etc.); keeps Coordinator informed of such information.  Updates database with program violations, incentives, sanctions, phase moves, etc.  Helps prepare agendas for policy meetings.  Will attend weekly status review meetings and court sessions.  Tracks all participants from beginning involvement to completion or termination, and provides updated information regarding non-compliant offenders to the team.  Tracks participant demographics and program statistics for grant reporting.  Requisitions and distributes supplies.  May also assist with other related clerical duties such as photocopying, faxing, filing and collating.  Performs other related duties as assigned. KNOWLEDGE / SKILLS / ABILITY KNOWLEDGE OF:  Modern office management practices and procedures.  Principles and practices of local government administration.  County and department policies and procedures. SKILL IN:  Organizing and prioritizing work.  Interpersonal relations / dealing with the public.  Gathering and evaluating data and preparing reports.  Operating such office equipment as a computer, calculator, facsimile machine, copier and postage meter.  Verbal and written communication. ABILITY TO:  Organize and manage multiple projects and priorities.  Work independently on assigned tasks as well as to accept direction on given assignments.  Maintains confidentiality of all offenders and office information as required by federal rule. ---PAGE BREAK--- COMPLEXITY The work consists of related administrative and financial duties. Time constraints, the variety of situations encountered and contact with the public contribute to the complexity of the work. A high degree of time management skills are necessary in this job. CONTACTS Contacts are typically with co-workers, other county employees, program participants, and the general public. Contacts are typically to give and exchange information, resolve problems, and provide services. ADA MINIMUM REQUIREMENTS Scope of Performance: The purpose of the work is to perform various clerical, administrative, and fiscal duties needed to provide multi-faceted support to the Coordinator. The work product or service provided by the incumbent affects the accuracy, reliability, or acceptability of further process or services from Treatment Court. Successful implementation of the work can result in the continuance of funding. Errors in this area will be problematic in relation to continued funding and the ability of the Treatment Court to successfully change the way that the criminal justice system deals with offenders with a substance related problem. Physical Ability: Must be physically able to operate a variety of machinery and equipment including standard office equipment such as a telephone, computer terminal and printer, facsimile, and copier. This position requires: walking, standing, bending, stooping, pushing, pulling, lifting, fingering, grasping, feeling, seeing, talking, hearing, and repetitive motions. Must be able to use body members to work, move, or carry objects or materials; must be able to lift light and heavy objects, up to 5 pounds regularly and exert up to 20 pounds of force occasionally. Physical demand requirements are at levels of those for sedentary work. Environmental Factors: The work is typically performed in an office, although there will be time spent in court. SUPERVISORY AND MANAGEMENT RESPONSIBILITY The Treatment Court Case Manager reports directly to the Program Coordinator. No supervisory duties are assigned. Case Manager completed work is spot-checked by Coordinator for compliance. MINIMUM QUALIFICATIONS  Bachelor’s degree in Criminal Justice, Sociology, Business Administration, or related field is preferred.  Two years of administrative or case management experience and any combination of education and experience that provides the required knowledge and skills.  Experience working with the criminal justice population.  Must be familiar with HIPAA and Federal Confidentiality Rule 42CFR regulations. ---PAGE BREAK---  Recordkeeping skills including participant records, treatment notes, case plans, budgets, and Microsoft Excel proficiency including spreadsheet creation and maintenance.  Must be detail-oriented, work well under pressure and in the fast-paced environment of the courts under limited supervision.  Possess a valid Georgia driver license and maintain a satisfactory Motor Vehicle Record (MVR).  Successfully pass a background check and drug screening.
