ADMINISTRATIVE ASSISTANT DAWSON COUNTY FIRE SAFETY DIVISION Part-Time (20 hours)/Hourly/Non-Exempt JOB SUMMARY This position is responsible for providing administrative and secretarial support to the Fire Safety Division. ESSENTIAL DUTIES  Answer the telephone and respond to emails. Communicate information to department personnel and provide information to callers regarding department operations.  Interact with the public and direct them to the appropriate department and/or individual to answer questions and provide service.  Compose and prepare correspondence, reports, memoranda, forms and records for the Fire Marshal’s office.  Assist with business activities of the Fire Safety Division and with third-party vendors.  Enter permit data to generate invoices for inspections.  Generate invoices for tenant changes.  Schedule inspections.  Process permit applications for fire protection systems (fire sprinkler systems, fire alarms, hood suppression systems), blasting operations, and pyrotechnic events. Arranges for plan review and approval, and issues permits for same.  Submit plans for review to third-party vendor and track progress.  Invoice and collect payment for inspections, permits, and other services.  Compile and track revenue reports for services performed by the Fire Safety Division.  Perform other related duties and special projects as assigned. KNOWLEDGE / SKILLS / ABILITY KNOWLEDGE OF:  Modern office practices and procedures.  County and department policies and procedures.  Accounting and bookkeeping procedures.  Basic architecture, building codes, and construction related terminology preferred.  Basic level understanding of data entry using EnerGov software preferred. ABILITY TO:  Efficiently manage time while organizing and managing multiple priority projects.  Work independently on assigned tasks as well as accepting direction on specific given assignments. COMPLEXITY The position consists of administrative and secretarial duties. Management of time constraints, projects received, and interaction with the public all contribute to the need for strong time management ability. CONTACTS Contacts are typically with departmental co-workers and other county employees, architects, engineers, builders, the public, and employees of other governmental agencies. Contacts are typically made to give and exchange information, resolve problems, and provide services. ADA MINIMUM REQUIREMENTS Scope of Performance: The purpose of this position is primarily to provide administrative and secretarial support for the Fire Marshal and associated staff. Successful performance helps ensure the efficient and effective operation of the Fire Safety Division. Physical Ability: Must be physically able to operate a variety of machinery and equipment including standard office equipment such as a telephone, computer terminal and printer, facsimile, and copier. This position requires: walking, standing, bending, stooping, pushing, pulling, lifting, fingering, grasping, feeling, seeing, talking, hearing, and repetitive motions. Must be able to use body members to work, move, or carry objects or materials; must be able to lift light and heavy objects, up to 5 pounds regularly and exert up to 25 pounds of force occasionally. Physical demand requirements are at levels of those for sedentary work. Environmental Factors: The work is typically performed in an office. ---PAGE BREAK--- 3 SUPERVISORY AND MANAGEMENT RESPONSIBILITY The Administrative Assistant serves under and reports directly to the Fire Safety Division Chief / Fire Marshal. MINIMUM QUALIFICATIONS  Applicants must be at least 18 years of age.  Possess a high school diploma or GED equivalent plus a mi n i m u m o f t w o y e a r s ’ e x p e r i e n c e i n a r e l a t e d f i e l d ; or any equivalent combination of education and experience which provides a sufficient level of understanding of the essential duties of the position.  Experience working with Public Safety, Building Department, and/or other County Government offices is preferred.  Must possess excellent verbal and written communication skills.  Must possess exceptional interpersonal communication, data entry and organizational skills.  Must be proficient with operating modern office equipment and knowledgeable in office procedures and administrative methods.  Must possess a valid Georgia driver license and maintain a satisfactory Motor Vehicle Record (MVR).  Applicant must be able to pass a background check and drug screening.
