ADMINISTRATIVE ASSISTANT – PUBLIC WORKS FLSA Status: Non-Exempt GENERAL PURPOSE: Under the direction of the Director of Public Works, coordinates and performs a variety of functions for the Public Works Department; provides administrative support to the Director of Public Works; processes utility billing, prepares correspondences, reports, and other documentation; updates and maintains the Department’s records and files; coordinates assigned Public Works programs; orders departmental supplies and uniforms; preparing work schedules for departmental employees; responds to Public Works inquiries and complaints; maintain service agreements and contracts; and performs other related duties as assigned. ESSENTIAL FUNCTIONS/TYPICAL TASKS: Assists the Director of Public Works in planning and administering all activities of the Public Works Department including, but not limited to, personnel, billing, general departmental operations, records management, and contract administration. The following duties are not intended to serve as a comprehensive list of all duties. • Answers, screens and directs incoming calls for the Public Works Department. • Serves as the primary point of contact for departmental employees and utility customers. • Prepares utility bills for customers as well as responding to inquiries regarding billing. • Provides administrative support and assistance to the Director of Public Works. • Prepares, processes, and disseminates correspondences, memoranda, schedules, and/or other types of departmental documentation. • Coordinates with vendors regarding the ordering of departmental supplies and uniforms. • Receiving and processing work orders from various departments and coordinating with appropriate staff. • Maintain work schedules and timekeeping records for Public Works employees. • Updates and maintains departmental records, filing systems and contracts for the Public Works Department. • Completes research of payments and invoices to determine appropriateness and, under direct departmental supervision, approves expenditures. • Assists the Public Works Director with preparation and maintenance of the annual budget and capital improvement plan. • Manage multiple delinquent accounts and implement collection efforts. • Manage the County surplus property and disposition of such property. • Assists Public Works Department with administrative support during emergencies and inclement weather. ---PAGE BREAK--- KNOWLEDGE, SKILLS AND ABILITIES: Ability to follow departmental policies and procedures and to concentrate on tasks in the presence of distractions; knowledge of principles and processes for providing quality customer service; ability to operate office equipment such as personal computers, photocopiers, voice mail systems; general knowledge of County and departmental programs and policies and terminology; ability to read and understand moderately detailed policies, procedures and job related materials; ability to type accurately and at a reasonable rate of speed; ability to make arithmetic calculations; ability to follow oral and written directions; ability to establish and maintain effective working relationships with other employees and the general public. EDUCATION AND EXPERIENCE: High School diploma or equivalent (GED); two years of college in a related field desirable; six years’ experience performing similar administrative support duties; or any acceptable related combination of training and experience. PHYSICAL REQUIREMENTS: This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects; work requires reaching, fingering, grasping, and repetitive motions; vocal communication is required of expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities. SPECIAL REQUIREMENTS: Possess a valid driver’s license issued by the Commonwealth of Virginia.
