Jurisdiction: School Districts Jurisdictional Class: Competitive Adopted: 11/23/92 Amended: 7/10/23, 6/3/25 SCHOOL PAYROLL CLERK DISTINGUISHING FEATURES OF THE CLASS: This is important bookkeeping work involving responsibility for a variety of accounting tasks in the preparation and control of School District payrolls. The incumbent may also be responsible for preparing and maintaining a fixed assets inventory for the district. The work requires an understanding of specific laws, labor contracts, and office procedures and policies. The School Payroll Clerk may also relieve an official of clerical duties and may serve as a receptionist in the school business office, depending on jurisdiction. The work is performed under the general supervision of the Superintendent or School Business Executive with wide leeway for the exercise of independent judgment in carrying out the payroll functions of the work. Supervision may be exercised over subordinate staff. Does related work as required. TYPICAL WORK ACTIVITIES: Reviews payroll input documents for accuracy and completeness; Enters adjustments to computerized payroll by manipulating an alphanumeric keyboard; Prepares and maintains a payroll master file; Compiles data and prepares periodic records and reports of pay roll deductions such as social security, state, and federal tax withholdings, union dues, credit union, tax-deferred annuities, and health insurance; Computes and writes checks for transfer of funds for payroll accounts; Types forms and correspondence; Reviews payroll register for accuracy, makes corrections as needed, and authorizes the printing of paychecks; Monitors employee attendance and leave accruals; Distributes paychecks and payroll registers; Computes and writes checks for garnishments; Compiles data for preparation of fixed assets inventory; Enters inventory information into computer memory; Operates a variety of office equipment such as data entry terminal, calculator, typewriter, and check-writer; Answers telephone and provides routine information; Performs a variety of bookkeeping tasks in the maintenance of payroll and other account records. FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES, AND PERSONAL CHARACTERISTICS: Thorough knowledge of accounting, rules and regulations relating to the payroll; Good knowledge of office terminology, procedures, and equipment; Good knowledge of business arithmetic and English; Ability to make arithmetic computations rapidly and accurately; Ability to maintain accurate records and accounts; Able to perform close, detail work involving considerable visual effort and strain; Tact; ---PAGE BREAK--- School Payroll Clerk Page 2 I 2 Courtesy; Physical condition commensurate with the demands of the position. MINIMUM_QUALIFICATION: Either: Possession of a bachelor's degree in accounting, mathematics, business administration, economics, or a closely related field, including or supplemented by a course or six months of work experience in keyboarding; OR Possession of associate's degree in accounting, mathematics, business administration, economics, or closely related field, AND two years of public contact work involving account keeping, including or supplemented by a course or six months of work experience in keyboarding; OR Possession of a high school diploma or equivalency diploma AND four years of public contact work involving account keeping, including or supplemented by a course or six months of work experience in keyboarding; OR Any equivalent combination of training and experience as defined by the limits of and above. NOTE: Your degree must have been awarded by a college or university accredited by a regional, national, or specialized agency recognized as an accrediting agency by the U.S. Department of Education/U.S. Secretary of Education.
