The coordinator is required to schedule building and park facility use as it relates to providing recreational and athletic programs. The coordinator assists taking registrations, answering questions, and assembling information for recreation programs. Regular weekend, evening, and holiday work is required to succeed in this position. The coordinator will be required to lead programs and events as well as oversee staff conducting recreation programs. Programs include, physical activities, recreation based special events, special interest recreation classes and summer programs. Programs offered in evenings and weekends will be developed. This position will work with local soccer, football, baseball and softball organizations for scheduling City fields and facilities. ESSENTIAL FUNCTIONS Coordinates the development and implementation of recreation programs; plans, coordinates and implements activities as needed to assure timely delivery of scheduled events, classes, league play and programs; supervises the operation and activities of various athletic programs; schedules recreation staff; participates in the recruitment and selection of part-time, temporary and seasonal staff; assists in the orientation of new employees to policies, programs and assigned duties. Recreation Programming—This position develops and administers youth and adult recreational athletic and general recreation programs. Examples include but are not limited to camps, clinics, and leagues for soccer, basketball, volleyball, softball, baseball, and football, and flag football. Also included are adult leagues in basketball, volleyball, and softball. General athletics requires forming teams, scheduling games, scheduling facilities, and securing program staff. Successful volunteer management is an essential function of this position. The coordinator must schedule, and communicate field use to Parks Supervisor and on occasion assist to complete field marking and maintenance. Budgeting—Assist in determining costs for materials, facilities, supplies, and labor and setting appropriate fees is required for each program and activity. Input to the supervisor and participation in the department’s budget review process is required. The coordinator makes recommendations for budget requirements, staffing hours, recreation equipment, assists in creating revenue projections, etc.; Prepares vouchers, assists with grants administration, prepares various reports to verify compliance with grant requirements. Marketing and Promotion—This position must develop measurable promotional materials, generate public service announcements, and direct mail advertisements for the recreation athletic division. Use existing procedures and develop new ideas for receiving, sorting, and reviewing feedback from customers and residents. Additional marketing experience in web based and social media is required. Field Schedules—Coordinates field schedules for practice times and games for sport associations and leagues. Oversees field concession operations, inventory, and establish relationships with vendors. Coordinates youth and adult recreation leagues; facilitates team meetings, manager meetings, schedules games; ensures proper participation forms are completed and signed, including liability waivers; recommends fee schedules; manages tournament bracketing; recruits qualified officials; secures activity locations; monitors events to ensure compliance with program guidelines; selects, plans and implements cultural arts, physical activities and special interest activities. Provides instruction teaching various youth recreation programs; plans developmentally appropriate activities; ensures safety; works in cooperation with parents to achieve goals for program participants; coordinates and audits classes, workshops and activities for persons engaged in recreation programs and co-sponsored programs. Promotes interest and provides information regarding recreation programs to school officials, other recreation officials, other park and recreation departments, community service groups, other City departments and the ---PAGE BREAK--- general public; responds to public inquiries about recreation programs made by telephone, correspondence or during public meetings. The Coordinator prepares for publication a variety of brochures, calendars, letters, email, social media, text messages, posters, news releases, flyers, and related communications regarding recreation programs. Coordination of sports programs for all ages, registers participants for teams, collects fees, acquires coaches, assigns practice times, schedules games and performs other related duties as necessary. The coordinator participates in the recreation center annual preventative maintenance program in conjunction with other department staff members. Performs a variety of miscellaneous duties such as answering phone, typing correspondence, running errands, picking up supplies needed for activities, activities for children, and making arrangements for rental and use of Recreation Center; performs “floor monitor” duties as needed to manage patron/youth non-supervised activities and behaviors and organizing and staffing special events. SUPERVISION RECEIVED The Coordinator works under general direction of the Recreation Supervisor. The coordinator must work with Park Supervisor and FT Office Assistant to develop the field schedule, and assist the field maintenance to complete field marking and maintenance before scheduled games. Youth, Athletics, Fitness, and Aquatics Coordinators are required to work together in scheduling use of gyms, pools, multi-purpose room, parks and other facilities for program activities. SUPERVISION EXERCISED The coordinator provides direction to regular part-time, full-time, provisional and seasonal Recreation Assistant(s) as assigned. Performs related duties as required. MINIMUM QUALIFICATIONS 1. Education and Experience: A. Graduation from college with a bachelor's degree in Sports, Recreation, Education, Business or a closely related field; B. Eligible or certified as National Parks and Recreation (NRPA) Certified Parks and Recreation Professional (CPRP) is preferred. NRPA certification accomplished within 24 months of hire. And B. Three years of progressively responsible experience performing above or related duties; OR C. An equivalent combination of education and experience. 2. Knowledge Skill and Ability Working knowledge of the methods and techniques of developing and operating city recreation and community education programs; fiscal management and budget development; various recreation activities which target all segments of the community from youth to senior citizen; general office maintenance and practices; business and technical writing; interpersonal communication skills; public relations. Some knowledge of principles of management, supervision and employee motivation. Skill in the art of diplomacy, cooperative problem solving, developing complex presentations and public speaking before large audiences. Ability to supervise daily work programs; read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; write routine reports and correspondence; speak effectively before groups of Recreation Center members, employees or the general public; solve practical ---PAGE BREAK--- problems and deal with a variety of information in situations where only limited standardization exists; interpret and apply a variety of instructions furnished in written, oral, diagram, or schedule form; calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference and volume; establish and maintain effective working relationships with employees, community organizations, and the public. 3. Special Qualifications: Must possess and maintain a valid Wyoming Driver’s Class C License. Must be or become within three months of employment AED, CPR/1st Aid certified. 4. Work Environment: Tasks require a variety of physical activities not generally involving muscular strain. Physical demands may occur in activities related to walking, standing, stooping, sitting, reaching, etc. Talking, hearing and seeing required in the daily performance of job duties. Worker must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds. Occasional exposure to environmental hazards and outside weather conditions. The employee is occasionally exposed to moving mechanical parts, toxic or caustic chemicals, and risk of electrical shock.
