CAMDEN COUNTY COMMUNICATION COMMITTEE MEETING WEDNESDAY, MARCH 5, 2008 - 10:00 A.M. HISTORIC COURTHOUSE WOODBINE, GEORGIA Present: Robbie Nettles, Ricky Beckham, Donna Woodard, Carol Daley, Orville Saunders, Staci Bowick, Keri Moreland, Mark Crews, Jeff Brannen, Ray Dyals Absent: Julie Brazell, Trevayne Myers, Jean Manning The Camden County Government’s Communication Committee held their first meeting on Wednesday, March 5, 2008 at 10:00 a.m. in the Historic Courthouse in Woodbine, Georgia. Staci Bowick opened the meeting by thanking everyone for their participation on this very important committee and briefly described the committee’s mission of improving communications throughout the organization and with the citizen’s of Camden County. The County’s new website and the Annual Report to the citizens were discussed as the newest forms of communication being used. It was suggested that a quarterly newsletter, possibly disseminated through the website only, could be used in conjunction with the Annual Report to keep citizens informed. Staci also informed the committee of the implementation of the new Exchange Server (ES). ES will afford every County employee a County email address that will be accessed via the website. The consensus of the committee was that ES will greatly improve communication within the organization by enabling anyone to communicate with everyone by using a “blanket” email. It was also suggested that items such as committee meeting minutes should be emailed to everyone as well as posted on the Employees Only page of the website. A suggestion was made to utilize the ES email to disseminate information about AFLAC and GEBCorp representative scheduled visits. As a sidebar, committee members agreed that the representatives selling insurance products to County employees should go to the departments versus expecting the employees to come to them. It was mentioned that there is a lot of confusion regarding the new Organizational Chart. It was suggested that it should be posted on the Employees Only webpage and possibly included in the New Hire Packets for all new employees. The need for an updated master list of employees and their phone numbers was also mentioned. Staci reminded everyone that there is a staff directory on the new website that is the most up-to-date list; however, she also agreed to check into putting a complete listing including cell phone numbers on the Employees Only webpage. Staci also committed to championing better communication between Directors and Division Heads during the Management Team Meetings held approximately every two weeks. A list of Communication Committee members and their email addresses is attached to the email. The next committee meeting will be held on Wednesday, April 9th at 10:00 a.m. at the Historic Courthouse.
