Instructions for Adding and Managing Calendar Events on the Butte-Silver Bow Website If you have any questions or problems, contact Online Admin Justin Ringsak at [EMAIL REDACTED] or [PHONE REDACTED], MIS Room 206, Courthouse. Published 3/6/2014 Introduction: This document is for reference use for any Butte-Silver Bow staff working with meetings or other public events on the site. If you have previously signed in and are generally familiar with the site, skip to Section 2 on page 8. You can do this by directly entering the web address in the very top bar of the browser: co.silverbow.mt.us, bsb-mt.us, or bsb.mt.gov are all valid web addresses for the BSB site. Note: It is recommended that you use a recent version of Chrome or Firefox when editing or uploading files to the website. The site has displayed some problems with Internet Explorer – you likely can edit with Internet Explorer, but may experience significant slowdowns, load times, or other issues. If you do not currently have Chrome or Firefox, the latest versions can be downloaded at the links below: • http://www.google.com/chrome • http://www.mozilla.org/en-US/firefox/new/ If installing Chrome or Firefox on your computer, make sure that you DO NOT set Chrome or Firefox as your default browser. Some Butte-Silver Bow employees use applications that only run through Internet Explorer, and setting Chrome or Firefox as your default browser may create problems with other applications. If you experience any such issues, or for assistance installing Chrome or Firefox on your computer, please contact the MIS Department. Step 2 – Sign-in: To add or edit calendar events or other modify other parts of the website, we first need to sign-in to the site. To do this, click the ‘Sign-in’ button at the top right of the screen, as shown below. You will be prompted for a username and password. The login info you should use is: Username: first initial + last name (example: jringsak) Password: password (unless you previously changed your password!) Instructions for Adding Calendar Events to the BSB Website 2 ---PAGE BREAK--- For future reference, the email address associated with your user account is your BSB email address (example: [EMAIL REDACTED]). If you are having problems in later steps, it may also help to check the ‘Keep me signed in’ box beneath the username and password fields, as shown below. Step 3 – Accept Privacy Policy/Terms and Conditions: If this is your first time signing on to the website, and on some other occasions when the site structure has been updated, you will be prompted to accept the site’s Privacy Policy and Terms and Conditions immediately after signing in. The prompt displays automatically in the sign-in pop-up window, as shown on the next page. Instructions for Adding Calendar Events to the BSB Website 3 ---PAGE BREAK--- To proceed, simply scroll to the bottom of the pop-up window and click the ‘I agree’ button, as shown below. The pop-up window will automatically close, and the website will reload. To confirm that you are signed in, after the site reloads, look at the top blue bar, and you will see some new menu options, and your username and a ‘Help’ menu at the far right, as shown on the next page. Instructions for Adding Calendar Events to the BSB Website 4 ---PAGE BREAK--- Step 4 – Change Your Password: If your password is still set to the default ‘password’, you should change it after signing in to ensure site security. To change your password, begin by clicking on your username at the top right. This will open a short dropdown menu. Click ‘Settings’ in this menu, as shown below. Instructions for Adding Calendar Events to the BSB Website 5 ---PAGE BREAK--- You should now see the Profile Settings page, as shown below. To change your password, type a new password in both the ‘Password’ and ‘Confirm Password’ fields, then scroll down and click on the ‘Save’ button, as shown below. Instructions for Adding Calendar Events to the BSB Website 6 ---PAGE BREAK--- Step 5 – Navigate to the Backend Calendar Module: Now that we are signed in, we need to navigate to what is called the ‘backend’ or ‘admin’ area of the website, to the Calendar module. Start by clicking on ‘Modules’ in the blue menu bar at the top of the screen. This will open a dropdown menu, as shown below. Note: You may see a different number of options in your Modules dropdown menu, depending on your level of site access and the tasks you typically perform on the website. In this dropdown menu, click on ‘Calendar’, typically found on the left side in the first or second column. This will load the Calendar module in the backend, as shown on the next page. From here, click on the appropriate calendar category. The list of categories you will see will vary depending on your level of access. In the example below, the user ‘Calendar’ has access to the Council of Commissioners, East Butte RRA, Entertainment & Community Events, and Parking Commission categories. Instructions for Adding Calendar Events to the BSB Website 7 ---PAGE BREAK--- Section 2: Adding an Event Basics After clicking on your appropriate category, you will see a screen like the one below that lists all upcoming events in that category. The example below shows events in the East Butte RRA category. If no upcoming events are scheduled, this list will be empty. To begin adding an event, next click on the green ‘Add Event(s)’ button, as shown above. This will open the event editing screen, as shown below. Instructions for Adding Calendar Events to the BSB Website 8 ---PAGE BREAK--- Next, complete the required Title and Event Date fields. All other fields are optional. If your event only takes place once, you should complete the default Single event date selection fields. Note that time must be formatted as xx:xx AM or xx:xx PM. If your event recurs, such as a commission or board meeting, a weekly community class or workshop, or similar event, then you should select the Recurrence for multiple events in different dates option, which opens up additional event options, as shown below. With this option, you will need to select how often your event recurs (i.e. daily, weekly, or using the radio buttons on the left. Each different option will display a new set of parameters for you to choose, e.g. if you choose ‘Weekly’, you then need to select which day of each week the event recurs, or if you choose you need to select what day each month (i.e. ‘the second Wednesday’) the event recurs. Range of recurrences also must be set, and is very important. When creating recurring events, a separate event entry will display on the calendar for each appropriate day you select (every Monday, for example, if using the ‘Weekly’ option, or every third Monday, for example, if using the option) within the date range that you set here. For example, if you are creating calendar events for a board that meets on the third Monday of each month, you would set that option under then set a date range from the current date until the last date you want your board meeting displayed on the calendar. Using these options, you could list board meetings for an entire year (or more!) all at one time. Note: Exercise caution and make sure that your information is correct when creating recurring events! Because recurring events create multiple calendar listings for each appropriate day within the date range, if you have something wrong, like a day of the week or a time, that incorrect info will appear in each and every recurring listing – in other words, these are much more difficult and time-consuming to edit or correct after-the-fact than single events. Instructions for Adding Calendar Events to the BSB Website 9 ---PAGE BREAK--- 2.1: Add an Event, Location The Location field for your event is optional, but should be included, if possible. If your event will take place at a Butte- Silver Bow public facility, you can select it from the dropdown location list, as shown below. In this example, the user has selected the Chief Executive’s Conference Room in the Butte Courthouse as the location for a new calendar event. Note: At the time of this writing (March 2014) the locations list is not complete, but does include many government locations. The list is a work in progress that will include more locations in the future. After selecting a location from the dropdown menu, the address fields will automatically fill-in, as shown on the next page. You should always check the ‘Include link to map’ and ‘Open map in a new window’ checkboxes next to the address fields, also as shown on the next page. Instructions for Adding Calendar Events to the BSB Website 10 ---PAGE BREAK--- If the location of your event is not included in the dropdown list, you should select ‘Other Location’ in the list and manually type in the name and address of the event location, as shown in the example below. You should still check both map boxes! Instructions for Adding Calendar Events to the BSB Website 11 ---PAGE BREAK--- 2.2: Add an Event, Time Details, Cost & Description The next set of fields (time details, cost and description) are optional. You should include information here, if available. Most events should at least include a description, as shown in the example below. Instructions for Adding Calendar Events to the BSB Website 12 ---PAGE BREAK--- 2.3: Add a Photo or Image Optionally, you can upload a photo or other image that will be shown in the detail view of your calendar event, and will also be shown in the main calendar sidebar if the event is a featured event (see page 27 for more on featured events). To begin, you should first have the photo or image you wish to use stored in a folder on your local computer. For the best display, images should be formatted to 150 x 150 pixels at 72 dpi, and in .jpg format (though many other standard digital image formats are accepted). If you require assistance formatting a photo or image, which requires specialized digital imaging software such as Adobe Photoshop or GIMP, contact the Online Administrator (Justin Ringsak, [EMAIL REDACTED]). With your photo or image prepared, then click on the ‘Upload Image’ button. This will open a pop-up window, as shown on the screen below. Note: This window can take a minute or two to load, depending on the speed of your internet connection. If it displays a loading wheel for longer than three minutes, refresh your web browser and try again. This window displays all images uploaded previously for calendar events. To begin uploading our new image for our event, first click on ‘Upload’ near the top of the window, as shown above. This will open a second pop-up window, as shown on the next page. Instructions for Adding Calendar Events to the BSB Website 13 ---PAGE BREAK--- From this window, we can upload one or more images to add to our calendar event. Typically, we will only want to upload one image. To do this, we must first click the ‘Select’ button and choose the image from your local computer, as shown on the screen on the next page. Instructions for Adding Calendar Events to the BSB Website 14 ---PAGE BREAK--- Note: Your screen may look different than the screen above, depending upon your operating system and your folder settings. You may see a list of files instead of icons. Regardless, navigate to the folder on your computer that contains your image, select it, then click the ‘Open’ button. You will again see the image upload window, with your filename now inserted, as shown below. Instructions for Adding Calendar Events to the BSB Website 15 ---PAGE BREAK--- Next click the ‘Upload’ button near the bottom of this window. You may need to wait a minute or two for your image to upload and the next screen to appear. You should now see the image management pop-up window with a thumbnail view of your image displayed on the right side, as shown below. We’re almost done adding our image! Next, click on the ‘Properties’ tab, as shown above. The thumbnail view of your image will be replaced with a few empty fields, as shown below. Instructions for Adding Calendar Events to the BSB Website 16 ---PAGE BREAK--- In this area, we only need to enter a short description of our image in the ‘Alt Text’ and ‘Long Description’ fields. These can be the same. Note that the Alt Text in particular is required to maintain ADA compliance! Once those fields are filled, click the ‘Insert’ button near the bottom right of the window. The pop-up will automatically close, and you will again see the calendar event screen, now with our new image appearing next to the ‘Photo’ area, as shown below. Instructions for Adding Calendar Events to the BSB Website 17 ---PAGE BREAK--- 2.4: Add an Email Address, Contact Phone, Link and/or Agenda Link to an Event The next set of fields (link, agenda link, email and contact phone) are optional. You should include information here, if available. Most events should at least include a contact phone or email address, as shown in the example below. Note that, for the email address, the display text is not typically needed. If used, it will display as a link to whatever email address you have included, e.g. in the above example, if we type ‘Click here to email’ in the display text, when someone viewed our calendar event, they would see that text, and clicking on it would automatically open the user’s email program and insert the ‘[EMAIL REDACTED]’ address in the ‘To’ field. You should include a link if there is a page on the Butte-Silver Bow website related to your event, or if there is a separate website related to the event. First, let’s look at an example where we want to add a link to a page on the Butte-Silver Bow website. For this example, we will link to the ‘Events & Festivals’ page on the Butte-Silver Bow website, which can be found under the ‘Visiting’ menu tab. To begin, we will want to open a separate tab in our web browser so that we can keep our new event open for further editing while still viewing the Events & Festivals page. In most web browsers, you can open a new, separate tab by holding Ctrl+t on your keyboard. Alternatively, open your web browser’s menu and select ‘New tab’, as shown on the screen below for the Google Chrome web browser. Instructions for Adding Calendar Events to the BSB Website 18 ---PAGE BREAK--- A new tab will open in your web browser, typically displaying your homepage by default, as shown in the example below, where Google is the homepage. Use a search engine or type in the web address to go to the Butte-Silver Bow website, then navigate to the page you want to link to your event. For this example, we are navigating to the ‘Events & Festivals’ page on the Butte-Silver Bow website, which can be found under the ‘Visiting’ menu tab, as shown below. Notice that the tab where we are adding our calendar event is still visible at the very top left of the screen. Instructions for Adding Calendar Events to the BSB Website 19 ---PAGE BREAK--- Next, we need to copy the web address (or URL) of this page so that we can paste it into our calendar event. To do this, highlight the web address displayed near the top of the screen, then open the browser menu and select ‘Copy’, or hold Ctrl+c on your keyboard, or right click over the highlighted text with your mouse and select ‘Copy’. An example is shown below. Note: Occasionally, web browsers are set to hide this web address. If you do not see an address bar near the top of your screen, you will need to adjust your web browser settings (typically found in the browser’s menu under ‘preferences’, ‘options’, or ‘settings’) to display the web address. Now that we have copied the web address we want to link to our calendar event, we can close this tab by clicking on the small on the tab, as shown on the next page (Note: NOT the X at the extreme top right of the screen – this would close the whole web browser, which we don’t want to do since we are still editing our calendar event!). Instructions for Adding Calendar Events to the BSB Website 20 ---PAGE BREAK--- Next, back in our calendar event tab, click into the Link field, then select ‘paste’ from the browser menu, hold Ctrl+v on your keyboard, or right click in the field with your mouse and select paste. An example is included below. Instructions for Adding Calendar Events to the BSB Website 21 ---PAGE BREAK--- After pasting the web address, it is a good idea to enter a simpler, shorter version of the address in ‘Display Text’ next to your link so that users don’t have to see the entire web address (which is often long and can include many numbers and other characters), like in the example below. For links to pages on the Butte-Silver Bow website, you should NOT check the ‘Open in new window’ box. Next, let’s look at an example where we want to add a link to a page on an external website (i.e. any website other than the Butte-Silver Bow website). For this example, we will link to the Evel Knievel Days website. To begin, we will want to open a separate tab in our web browser so that we can keep our new event open for further editing while still navigating to and viewing the external website we want to link to. In most web browsers, you can open a new, separate tab by holding Ctrl+t on your keyboard. Alternatively, open your web browser’s menu and select ‘New tab’. For more details on how to open a new browser tab, refer to page 18. In the new tab, use a search engine (such as Google or Chrome) or the search field at the top of your browser to find the website you want to link to your calendar event, as in the example on the next page using the Google Chrome web browser. Note: In Chrome and many other modern web browsers, the field at the top of the screen displays the web Instructions for Adding Calendar Events to the BSB Website 22 ---PAGE BREAK--- address of the page you are currently viewing and also functions as a search field. Alternatively, if you have a bookmark or other shortcut to the website you want to link to, use that bookmark or shortcut to navigate to the site. Once you have navigated to the website you want to link to your new calendar event, select the web address displayed near the top of the screen and copy it (refer to page 20 for more details), as shown on the screen below. Instructions for Adding Calendar Events to the BSB Website 23 ---PAGE BREAK--- Now that we have copied the website address we want to link to our calendar event, we can close this tab by clicking on the small on the tab, as shown below (Note: NOT the X at the extreme top right of the screen – this would close the whole web browser, which we don’t want to do since we are still editing our calendar event!). Instructions for Adding Calendar Events to the BSB Website 24 ---PAGE BREAK--- Finally, let’s look at an example of how to add a link to an agenda, or an ‘Agenda Link’, to an event. This is particularly useful for public boards, commissions, committees, or other public meetings. The example below applies if you have previously published an agenda (the agenda we will link to our event) on the Butte-Silver Bow website using the Agenda Center module. For more information on uploading and managing agendas on the Butte-Silver Bow website, refer to the document Instructions for Updating Agendas & Minutes on the BSB Website (Feb. 2014), available by contacting the Online Administrator ([EMAIL REDACTED]). Begin by opening a new browser tab (refer to page 18 for more details on browser tabs), and navigate to the ‘Agendas & Minutes’ page of the Butte-Silver Bow website. On that page, find the specific agenda you would like to link to your calendar event. The example below uses a recent agenda from the Parks and Recreation board. With your mouse cursor over the agenda’s title, right click on the agenda title and select ‘Copy link address.’ Instructions for Adding Calendar Events to the BSB Website 25 ---PAGE BREAK--- Next, simply close the new browser tab, and on our calendar event editor screen, paste the copied link into the ‘Agenda link’ field, as shown below. Note: For agenda links, you should always check the ‘Open in new window’ checkbox, just as you would for links to external websites. Note: A single calendar event can include both a Link and an Agenda Link. Instructions for Adding Calendar Events to the BSB Website 26 ---PAGE BREAK--- 2.5: Featuring an Event or Listing an Event as ADA Accessible Featured Events display more prominently on the website. To make an event a Featured Event, click on the small arrow at the bottom of the calendar event editor next to ‘Show Additional Details.’ This will reveal another set of options below the main calendar event options. Most of these are not used on the Butte-Silver Bow website, and should be ignored. If you want to set an event as a Featured Event, simply click the ‘Featured this event’ checkbox. If you want an event to display as ADA accessible, select the ‘Yes’ radio button next to ‘ADA’. Instructions for Adding Calendar Events to the BSB Website 27 ---PAGE BREAK--- 2.6: Save and Publish Your New Event The last step to add our calendar event to the site is to click the green ‘Save and Submit’ button (NOT Save – it is important that you ‘Save and Submit’ or ‘Save and Publish’) on the right, as shown below. Note: Some users, depending upon their access level, will see ‘Save and Publish’ instead of ‘Save and Submit’. In this case, you should click ‘Save and Publish’. Clicking ‘Save and Submit’ (see further below for an explanation of options following ‘Save and Publish’) will place your calendar event into a queue for administrator approval prior to publication. This status will be indicated in the list by a ‘submitted’ text stamp that appears next to your event in the event list for your category, as shown on the next page. Instructions for Adding Calendar Events to the BSB Website 28 ---PAGE BREAK--- The admin will be automatically notified that your event is in the queue. You should not need to take any further action – an admin will review and publish your event, or contact you if any further action is required. Clicking ‘Save and Publish’ will list your event on the public website calendar immediately. After clicking, you will immediately see the pop-up window shown on the next page, which controls options for sending automatic email or text message notifications regarding the new event to anyone who has subscribed to this calendar category. Instructions for Adding Calendar Events to the BSB Website 29 ---PAGE BREAK--- Here we need to determine: 1) if we want to send out an automatic notification to subscribers about this event; and 2) when exactly we want that notification to be sent. If no automatic notification is desired, simply click the ‘Don’t Send’ button, as shown on the next page. The calendar list screen will load, and you have finished publishing the event. Instructions for Adding Calendar Events to the BSB Website 30 ---PAGE BREAK--- Alternatively, if we want to send an automatic notification, we must select one of the three options under ‘Send’, shown below, to determine when exactly the notification will go out. Instructions for Adding Calendar Events to the BSB Website 31 ---PAGE BREAK--- ‘On Start Date’ will send out the notification on the ‘Event Starts Date’ you entered when creating the event. ‘Immediately’ will send out the notification as soon as we complete this step by clicking the ‘Send’ button. ‘x Number of Days in Advance’ will send out the notification a set number of days before the ‘Event Starts Data’ you entered when creating the event. If you select this option, you must enter a number in the box below the option – 7 days are recommended. After you have selected your option, enter any additional comments you would like to include in the email notification under the ‘Comments’ field and any additional information you would like to include in the text message under the ‘Mobile Text/Push Message’ field. Note that both of these fields are optional, and that by default the basic information about your event will be sent in both formats without you typing anything additional in these fields. Instructions for Adding Calendar Events to the BSB Website 32 ---PAGE BREAK--- Section 3: Editing an Event If you want to edit an event you created and submitted or published previously (due to, for example, a change in date, time, location, more information, etc), you should start by signing in to the website and navigating to the backend Calendar module. Select the calendar category for your event and find the event you want to edit in the list, then click the small gear wheel icon to the right of that event and select ‘Modify’ in the dropdown menu, as shown below. Note: Most users can only Modify events they created, not other users’ events. You will see a screen like the one shown on the next page, which is identical to the screen you saw when first creating your event, with the same options. Instructions for Adding Calendar Events to the BSB Website 33 ---PAGE BREAK--- Make any edits or other changes. Since the event we are editing has already been submitted or published, there is no need to ‘Save and Submit’ or ‘Save and Publish’ – you should select ‘Save Changes.’ If desired, choose ‘Save and Send’ to resend automatic email or text message notifications. Instructions for Adding Calendar Events to the BSB Website 34 ---PAGE BREAK--- 3.1: Copy an Event You can easily copy an event you created previously and move the copy to a different category (as long as you still have access to the different category), or copy an event with modifications to the date, time, description, etc. This can be a very useful, time-saving feature. To begin, make sure you are signed in to the website and navigate to the calendar Module, then select the appropriate category. From the list of events, click on the gear wheel to the right of the event you would like to copy, then click ‘Copy Event’ in the dropdown menu, as shown below. A new event editing screen will open, including all the info for the copied event, as shown on the next page. This is identical to the normal event editing screen, with one exception – you will now see a dropdown field called ‘Calendar’ at the top. The dropdown list allows you to select a category for your copied event. You can choose to place your copied event into any category to which you would normally have access. Instructions for Adding Calendar Events to the BSB Website 35 ---PAGE BREAK--- After selecting a Calendar category, make any other changes or edits desired in your copied event (date, location, address, etc), then click ‘Save and Publish’ or ‘Save and Submit’. Instructions for Adding Calendar Events to the BSB Website 36 ---PAGE BREAK--- 3.2: Linking to an Event or an Event Category You may sometimes want to link to a calendar event from a page on the website, in an email, or for other purposes. The calendar Module allows us to easily link to specific calendar events, or to an entire calendar category. First, we will look at how to link to a specific event. As usual, you should start by signing in to the website and navigating to the Calendar Module, then select your desired category. Click on the gear wheel to the right of the event you want to link to and select ‘Copy Link’ from the dropdown menu, as shown below. Note: You may see fewer options in this dropdown menu, depending on your level of access. This will open a pop-up window, as shown on the next page. Instructions for Adding Calendar Events to the BSB Website 37 ---PAGE BREAK--- You will notice that there are two fields, ‘Link’ and ‘Address’. Link should be used if we are linking to this event from a location that is part of the Butte-Silver Bow website, like from a page. For all other purposes, such as linking to an event from an email message, social media, or from another (non-Butte-Silver Bow) website, you should use Address. Address will also work for links from locations that are part of the Butte-Silver Bow website, so, if you want to be very safe and know that your link will work regardless of its location, you should use Address. From this pop-up, all you need to do is copy the text, either by using the ‘Copy’ button to the right of a field, which will put that text into your computer’s clipboard, or by highlighting the text you want to copy (usually the Address) and copying. Then simply paste the link wherever you would like to connect to this calendar event. Next, we will look at how to link to a calendar category. As usual, you should start by signing in to the website and navigating to the Calendar Module, then select your desired category. Click on the ‘Actions’ gear wheel to the right of the category name near the top of the screen and select ‘Copy Link’ from the dropdown menu, as shown in the two screens on the next page. Note: You may see fewer options in this dropdown menu, depending on your level of access. Instructions for Adding Calendar Events to the BSB Website 38 ---PAGE BREAK--- Clicking on ‘Copy Link’ will open a pop-up window, as shown on the next page. Instructions for Adding Calendar Events to the BSB Website 39 ---PAGE BREAK--- You will notice that there are two fields, ‘Link’ and ‘Address’. Link should be used if we are linking to this category from a location that is part of the Butte-Silver Bow website, like from a page. For all other purposes, such as linking to a category from an email message, social media, or from another (non-Butte-Silver Bow) website, you should use Address. Address will also work for links from locations that are part of the Butte-Silver Bow website, so, if you want to be very safe and know that your link will work regardless of its location, you should use Address. From this pop-up, all you need to do is copy the text, either by using the ‘Copy’ button to the right of a field, which will put that text into your computer’s clipboard, or by highlighting the text you want to copy (usually the Address) and copying. Then simply paste the link wherever you would like to connect to this calendar category. For more information on how calendar categories or displayed for the public, refer to Section 4. Instructions for Adding Calendar Events to the BSB Website 40 ---PAGE BREAK--- Section 4: How and Where Calendar Events Display on the Public Website It is important to understand how and where the events your create display on the website. Public users on the Butte- Silver Bow website can view calendar events using many different paths, and have different options for viewing all calendar events at one time, or for viewing only a specific category or group of categories. The standard calendar interface is shown and described below. 1. By default, the calendar displays the List view, which lists all events on the current date, or another date the user selects. Events are displayed in the area marked (see below). 2. Users can select this tab to view a weekly display of calendar events. 3. Users can select this tab to view a display of calendar events. 4. The search fields can be used to display a date range of calendar events, or to do a text-based search of all events. 5. ‘Select a Calendar’ allows users to choose to display events only in a specific category or categories. 6. The mini-calendar allows users to click on a specific date to view a list of all events on that date. 7. All events on the selected date are displayed in this list, arranged by event category in alphabetical order. By default, the events on the current date will be displayed here. 8. The next five upcoming events that are set as Featured Events will display in this sidebar. By scrolling down a bit, users can also view a list of all event categories on the left, as shown below. By clicking on any event title or the ‘More Details’ link under each event listing, a user can view the complete details for that event, as shown below. If users select the ‘Week’ view from the tab at the top of the calendar, the view shown on the next page will display, defaulting to the current week. If users select the ‘Month’ view from the tab at the top of the calendar, the view shown below will display, defaulting to the current month. Instructions for Adding Calendar Events to the BSB Website 43 ---PAGE BREAK--- From this view, users can also click on the ‘Show More’ buttons above each specific date to view a pop-up window listing all events on that date, as shown below. Now that we have seen how the public calendar works, we will look at the main navigation paths users can take reach the calendar, all described below. There are several one-click methods to view calendar from the Butte-Silver Bow homepage. Under the Services menu, users can select ‘Calendar of Meetings & Events’ as shown below. Under the Community menu, users can select ‘Calendar of Events’ as shown below. This option will take users to the main calendar view, and will by default show event listings from more general community-related categories, such as the Archives, Library, and Entertainment & Community Events categories. Under the Visiting menu, users can select ‘Events & Festivals’ as shown below. This option will take users to the Events & Festivals page, shown on the next page, which displays event listings from general entertainment and community-related categories in a sidebar on the right. This option will take users to the main calendar view, and will by default show event listings from board, commission, and other government-related categories. Instructions for Adding Calendar Events to the BSB Website 46 ---PAGE BREAK--- Back on the homepage, users can also scroll down and select ‘Calendar of Meetings & Events’ to view the main calendar, including all categories. Also on the homepage, users can select the ‘Calendar’ tab to view a list of the next seven upcoming events from all categories. Both options are shown below. Many specific event categories also display on the appropriate page. For example, each board or commission page displays the category for that specific board or commission on the right side of the page, as shown below for the Board of Health. Instructions for Adding Calendar Events to the BSB Website 47 ---PAGE BREAK--- 4.1: Subscribing to Calendar Categories As mentioned previously, users also have the option of subscribing to a calendar category to receive automatic notifications when new events are added to that category. To subscribe, users must navigate to the ‘Notify Me’ page, available by clicking on the ‘Notify Me’ icon on the homepage below the photo slideshow, or on most other site pages on the left. Once on the ‘Notify Me’ page, a user must either already be signed in, or enter an email address (and optionally a phone number for text messages), then scroll down to see the Calendar area and the list of calendar categories – to subscribe to a category, a user then clicks either the email or phone icon next to a category, as shown below.
