Community Library Committee Meeting Minutes October 16, 2008 Health Sciences Building Present: John Cech, Bill Cochran, Bruce Putnam, Lloyd Mickelson, Eakle Barfield, Peggie Gaghen, Brent Roberts, Jane Howell Not present:, Rita Kratky, Suzanne Reymer, Bruce McCandless 1. The meeting was called to order at 11:30 pm. 2. The minutes from the September 25, 2008 meeting were approved until it was discovered that page 2 was missing. We’ll approve at next meeting. 3. Community 7 (Lynn Turner Fitzgerald) – Lynn was a guest and presented the idea of partnering with the Library, MSUB or SD#2 in regards to establishing a new studio (see attached). 4. City Update (Bill Cochran) – Several meetings were scheduled for the 21st of October. At 9 AM the Chancellor and City Manager were to meet and discuss funding options; at 11:30 AM a Special Board meeting was to be held to finalize recommendations for the City’s CIP (due Friday) and at 1:30 PM we would present an update to the University’s Cabinet. The City Council’s presentation was moved from the 20th of October to the 3rd of November. 5. University Update (Eakle Barfield) – The majority of the meeting was spent reviewing the upcoming presentations for the City Council and the Cabinet (attached). 6. Subcommittee Reports Facilities – On October 7th, the A&E Division in Helena requested qualified firms respond by October 30th expressing their interest in being considered for interviews for our Planning Study Funding – Given the present economic conditions, bonding remains somewhat tenuous and that there are no guarantees irrespective of any funding avenues we take. The Subcommittee needs a role charge. Governance – Memorandum of Agreement was finalized. It was recommended that two subsequent MOU’s be developed, one dealing with the construction project and a separate one for operations. Planning – They have developed a Mission Statement and made several site visits. A Case Statement remains to be done along with a facilities needs assessment and public information coordinator. ---PAGE BREAK--- Policies – Met August 26th to initiate discussion among the two staffs on the concepts of use and space. 7.
