WEEKLY BRIEFS City of Arvada internal news July 10, 2023 All Employee Photo 2023 We Dream Big and Deliver! Thank you everyone for coming together at the Employee BBQ and being a part of the all-employee photo this year. It took a lot of planning and teamwork with several work systems to get everything set up. We want to give shout-outs to the following teams: ● OSC Steve Milke and Tomás Martinez determined the size of the City logo and came up with the dimension for the soccer field. James Long, an FAA-certified drone operator, took the picture. ● Infrastructure Work System: The Site Survey Team, Mary Kay, Derek Leidigh and Howard Miller did an amazing job using GPS coordinates to make the city logo. This team is fast, they had everything marked within 5 mins! ● VCN Parks Supervisor Jason Garner and his crew helped determine the location where the City Logo would go on the soccer fields and they painted the City logo after it was marked. Thank again to everyone that contributed to the creation of the logo and for being a part of the 2023 All Employee photo! Meyers Pool Groundbreaking Many of our City team members came out to the groundbreaking ceremony for the new Meyers Pool facility on June 20. If you weren’t able to attend, you can watch this video with highlights from the event! The City of Arvada, Apex Park and Recreation District and Jeffco Schools have partnered to replace Meyers Pool with a new 50-meter natatorium. The project kicked off in May and is expected to be complete in the fall of 2024. Courts security update project The courts security upgrade project will begin Monday, July 24 and is expected to last until early September. During construction the upper parking lot and courts entrance will be under construction and will not be accessible as an entry point. All guests will need to enter through the City Hall main entrance. Email your news to ---PAGE BREAK--- ● Courts: Guests will sign in at the main entrance and will be directed through the atrium and up the stairs to where they will continue with the regular courts screening and check in process. ● Council Meetings: Starting on Monday, Aug. 7 attendees for the meetings will need to enter through the main entrance and follow signs through the atrium and up the stairs to Council Chambers. ● All other business: Guests will continue to follow our normal check in procedures. City Hall parking reminder We have seen an increase in personal vehicles parked in the parking spaces reserved for City vehicles at City Hall. With the upper parking lot being closed off due to construction shortly, we would like to remind everyone of where City employees can park their personal vehicles. ● East and South side parking is designated for guest parking. ● Designated City Vehicle (CV) spots in the North lot are reserved for City fleet vehicles. It can be challenging for field team members to find shared vehicles or come in and out quickly if the reserved spots have been filled by personal vehicles. ● The North parking lot adjacent to the post office is for the post office only. Please reference this City Hall parking map. Thank you for being considerate of guest and team members' needs by parking on the East side of the parking lot or along the street. Connecting Arvada: Transportation for All Connecting Arvada is the Public Works Department’s Transportation Systems Plan (TSP), an initiative to identify strategies and priorities for improving the City’s transportation systems over the next 20 years. As a part of the process, the project team is looking for community input. The team is kicking off engagement at Taste of Arvada on Thursday. July is Park and Recreation Month July is officially Park and Recreation Month in the City of Arvada! Park and Recreation Month is nation-wide initiative of the National Recreation and Park Association. This year's theme — “Where Community Grows” — celebrates the vital role park and recreation professionals play in bringing people together, providing essential services and fostering the growth of our communities. Email your news to ---PAGE BREAK--- Organizational Service Effectiveness Work System NASCAR Update In support of the City’s strategic initiative to replace Oracle (the HR/Payroll and Finance system), the NASCAR project team has been working on the vendor contracts needed for the purchase and implementation of the new Enterprise Resource Planning (ERP) system. The first contract for the ERP software will be going to the City Council for approval on July 17, 2023. We will then go to the City Council for approval of the second contract with the implementation partner on August 7, 2023. Our next phase after going to City Council is Implementation. While we wait for the contracts to be finalized, our project Process Improvement Teams (PIT) crews and leaders attended Denver County Peak Academy process improvement training. This training is intended to provide an introduction to seven tools that can be used to identify and eliminate waste in our processes. Our goal is to apply processes and tools to the new ERP system as we embark upon the implementation phase of this project, with the intention of developing efficient processes and best practices in our new HR/Payroll and Finance system. Before moving to the next phase, we want to take a look back over the last year and share some of our key achievements since our kickoff meeting on June 30, 2022! Email your news to ---PAGE BREAK--- Key Accomplishments: ● Formed Process Improvement Teams (PIT Crew). ● Documented the current and future workflows for Finance and HR ● PIT Crews defined and documented 1436 functional, 46 interface and 26 data requirements for the RFP. ● Developed and Posted RFP and associated documents on November 16, 2022. ● Received 7 proposals on January 25, 2023, which were read and analyzed by our selection committee. ● Held introductory presentations with 6 vendors. ● Held ERP product demonstrations for 2 vendors over two weeks. ● Elevated 1 vendor to discovery and contract negotiations. Here are some of the next key project milestones: ● City Council approves Software Contract on July 17, 2023. ● City Council approves Implementation Contract on August 7, 2023. ● NASCAR team begins software implementation approximately mid-August 2023. Donate to the School Supply Drive The Employee Committee is sponsoring a School Supply Drive from July 5 to July 28 and the goal is to provide school supplies for 200 Jefferson County students. If you would like to donate, visit the Arvada School Supply Drive for online donations or bring in items to Donation Boxes available throughout City facilities. Fidelity phone appointments available on July 18 and 19 Sam Casad from Fidelity will be holding 30 minute phone appointments this month on Tuesday, July 18 and Wednesday, July 19. Any participant from ANY of our City retirement plans can sign up for one of these appointments. All appointments are FIRST COME, FIRST SERVED. Vibrant Community & Neighborhoods Work System Little Raven Park Naming Celebration On Thursday, July 13, in conjunction with the Cheyenne and Arapaho Tribes, VCN hosted a naming celebration for Little Raven Park. Tribal government officials and cultural leaders of the Cheyenne and Arapaho Tribes traveled to Arvada from Oklahoma to participate in this historic landmark naming celebration. The naming celebration included appropriate cultural celebration songs and comments from leadership from the City of Arvada and the Cheyenne and Arapaho Tribes. Located at 12140 W. 57th Ave., Arvada's newest park was officially named Little Raven Park on April 17, 2023 following a community engagement project led by the Arvada Park Advisory Committee (APAC). A member of the community who lives near the park recommended the name Little Raven. Little Raven served as one of the principal chiefs of the southern Arapaho People in the late 1800s and was known as a peacemaker between native tribes of Colorado and white settlers. Email your news to ---PAGE BREAK--- Big projects recently completed by the Athletic Field Programming and Maintenance crews The City’s Athletic Field Programming and Field Maintenance crew recently completed two large projects that will ensure youth and adult sports teams in our community can enjoy our amazing fields without interruption. The Athletic Field Programming Team completely refurbished three infields at Pioneer Sports Complex, complete with over 200 tons of infield mix! The project was completed just in time for the start of the recent Sparkler Softball Tournament, the largest softball tournament in the world. At the same time the Athletic Field Maintenance Team removed and installed 7,000 square-feet of new sod at Long Lake Ranch Sports Complex. Due to our wet spring, these fields were showing an excessive amount of wear and tear. Great job, team! These fields look fantastic! Email your news to ---PAGE BREAK--- Movies Around Town starts this Friday with a free showing of Top Gun: Maverick The first Movies Around Town event of the summer is this Friday, July 14, at Homestead Park (5640 W. 63rd Ave.). The Arvada Festivals Commission will be hosting a free showing of Top Gun: Maverick on its giant inflatable screen. Native and Protected: Ornate box turtle spotted at Majestic View Park Last week, we spotted an Ornate Box Turtle in the park crossing the Interpretive trail and heading toward prairie grasses, where this native, terrestrial turtle lives. By having tall, protective grasses and wildlife resting areas in the park, we are able to provide the right habitat for this rare species. Because of threats like habitat loss, collection for the pet trade and road mortality, this tiny turtle is protected in 7 states - including Colorado! We are happy they call Majestic View Park home! Community and Economic Development Work System Daniel Ryley Accepts New Position at Metro Denver Economic Development Corporation Daniel Ryley, Executive Director of the Arvada Economic Development Association (AEDA), has accepted a position with the Metro Denver Economic Development Corporation (EDCC). He will serve as the Vice President of Corporate Attraction where he will oversee global prospecting activities, business development strategies, and support overall economic development competitiveness for the Metro Denver region, which includes communities across the Front Range from El Paso County up to Larimer County.
