(Statistical data and research topic summaries will be compiled from this form for County use). TO ENSURE PROPER CARE OF IRREPLACEABLE MATERIALS, IT IS NECESSARY TO ESTABLISH THE FOLLOWING REGULATIONS: 1. Public access to the Archives is available by appointment only. 2. The records storage area (“stacks”) is closed to the public. ---PAGE BREAK--- 3. A Request for Research Appointment form must be submitted prior to scheduling research. All people planning to do research and/or be present at research facility must sign this form. 4. Due to space restrictions there is a maximum of two researchers per appointment. Exceptions to this rule may be approved by County Librarian/Archivist. 5. All researchers must wash & dry their hands before handling Archives materials. 6. No eating, drinking or smoking will be permitted in the Archives or Supervised Research space. 7. No pets allowed inside Archives facility. 8. Personal possessions, such as purses, briefcases, coats, backpacks, etc. must be left with the Archivist or staff. All materials brought into the research area are subject to search upon entering and leaving. 9. Patrons must sign “Researcher Daily Register” upon entering the facility. 10. Only pencils may be used to take notes. (The Archivist will lend pencils on request). Researchers who would like to use their own devices must consult with the County Librarian/Archivist before use. 11. Finding Aids to the records are available for researchers. The stacks are open only to authorized County Archives staff. 12. All researchers will be given equal access to archival materials, though access to unprocessed materials may be limited. 13. No more than two boxes of Archival material at a time will be supplied to researcher. 14. Researchers will treat material with great care and not lean on, write, trace or mark upon, alter or otherwise change materials. 15. Paperweights, elbows, books or other objects may not be laid upon the materials. 16. Material should be removed from boxes by grasping the file folders and returned the same way. 17. Care should be taken that there are no creases or folds placed in documents and that they are neatly and totally enclosed in their folders. 18. “OUT” cards will be used to mark locations of material removed for reproduction. 19. File folders will be returned to the order in which they were received. ---PAGE BREAK--- 20. Cotton gloves will be provided for use with all photographic materials. (Please ask for assistance if needed). 21. When researchers leave the Archives Research area for more than a few minutes, materials should be returned to archives staff. 22. Costs of reproducing materials and photographs will be charged to researchers at the posted rate. Methods of reproduction may be limited, if necessary to protect the originals from damage. Only authorized staff may reproduce materials. 23. It is the researcher’s responsibility to secure written permission to publish Alpine County Archives’ original material, including photographs and maps. The Alpine County Archives reserves the right to refuse permission to publish or reproduce materials from its holdings. 24. Credit must be given to Alpine County Archives as the source for the material. A research citation should identify completely a particular document’s location.
